Job Description

Prairie Grit Therapy is growing our team! Prairie Grit Therapy provides highly skilled therapy in an engaging and exciting treatment space within the Minot YMCA for children of all abilities. We are seeking a Medical Biller to support the financial and administrative functions of our therapy clinic. This position is responsible for accurate and timely medical billing, insurance verification and follow-up, payment posting, accounts receivable management, scheduling support, and general office operations. The ideal candidate is organized, detail-oriented, compassionate, able to work independently, and comfortable communicating with families, insurance companies, and members of the therapy team. This position is essential to the financial health and day-to-day success of the therapy clinic. Experience Minimum of 2 years of experience in a medical office, medical billing, healthcare administration, or a similar position is required. Experience with medical billing, insurance claims, Medicaid, Medicare, and electronic medical records is strongly preferred. Experience in a pediatric therapy, rehabilitation, or behavioral health setting is a plus. Essential Job Duties Demonstrate compassion, kindness, and professionalism in all interactions with clients, families, coworkers, and insurance representatives. Maintain a welcoming, organized, and well-run clinic environment. Submit accurate and timely medical claims to commercial insurance companies, Medicaid, Medicare, and other applicable payers. Review claims for accuracy and completeness prior to submission. Verify patient insurance eligibility, benefits, coverage limitations, authorizations, and other payer requirements. Monitor outstanding claims and accounts receivable and follow up on unpaid, denied, or rejected claims. Research and resolve claim denials, payment discrepancies, and billing issues. Review Explanation of Benefits (EOBs) and insurance correspondence and accurately post payments, adjustments, and patient responsibilities in the EMR/billing system. Communicate with insurance companies regarding claims, authorizations, benefits, denials, and required documentation. Prepare and submit corrected claims, appeals, and additional documentation as needed. Maintain accurate patient billing records and ensure patient accounts are current. Collect and accurately document co-pays, deductibles, coinsurance, and other patient balances. Communicate with families regarding balances, billing questions, insurance requirements, and payment expectations in a professional and compassionate manner. Assist with identifying and resolving insurance or patient account discrepancies. Maintain knowledge of applicable insurance guidelines, including HMO/PPO, Medicaid, and other payer requirements and systems. Maintain familiarity with CPT and ICD-10 coding and medical terminology commonly used in therapy claims. Maintain patient confidentiality and comply with HIPAA requirements. Maintain accurate physical and digital office forms, billing records, and client records. Assist with scheduling appointments and maintaining therapist schedules as needed. Answer telephones, take messages, and communicate information to appropriate staff. Run reports and independently complete assigned tasks and follow-up activities. Demonstrate strong attention to detail and the ability to prioritize multiple responsibilities. Communicate effectively with therapists, office staff, families, insurance representatives, and management. Assist other team members with activities as workflow requires. Maintain a clean, organized, and professional office and treatment environment. Typical Billing and Administrative Duties Exercise independent judgment in completing routine billing and administrative functions without requiring constant supervision. Review daily billing activity to identify missing information, unbilled services, rejected claims, and other billing issues. Track outstanding accounts receivable and follow up on aging balances. Enter and reconcile Explanation of Benefits (EOBs), insurance payments, adjustments, and patient payments. Submit claims and supporting documentation through applicable payer portals and electronic clearinghouses. Fax or electronically submit additional clinical documentation requested by insurance companies. Track prior authorizations, referrals, benefit limits, and other payer requirements and communicate upcoming needs to the appropriate team members. Review documents, records, and forms for accuracy, completeness, and compliance with applicable policies and payer requirements. Prepare billing and administrative reports from data compiled and records maintained. Maintain accurate calendars, billing deadlines, authorization dates, and other important due dates. Receive, review, organize, and distribute incoming and outgoing mail and billing correspondence. Establish and maintain organized billing records, logs, filing systems, and electronic documentation. Develop or assist in the development of forms, worksheets, and record-keeping systems used to support billing and administrative functions. Attend and participate in company meetings. Assist other support staff with assigned functions as needed. Perform related duties as required. Skills and Qualifications Excellent verbal and written communication skills. Exceptional time management. Strong attention to detail and accuracy. Ability to work independently, prioritize tasks, and meet deadlines. Strong organizational and problem-solving skills. Ability to handle confidential information with discretion and professionalism. Knowledge of medical insurance billing processes and payer requirements. Familiarity with CPT and ICD-10 coding. Knowledge of medical terminology. Proficiency with Microsoft Office products, including Word and Excel. Experience using an EMR/electronic billing system preferred. Ability to communicate effectively and compassionately with families regarding sensitive financial and insurance matters. Ability to work collaboratively in a fast-paced pediatric therapy environment. Physical and Environmental Responsibilities Maintain cleanliness and organization of the office and treatment spaces. May occasionally assist with patient care or treatment activities
