Mental Health Biller & Insurance CoordinatorAbout Us At Guidepost Counseling for Wellness (GPCW) , we are dedicated to providing high-quality, trauma-informed mental health care while ensuring a seamless, sustainable, and ethical billing process. We are seeking a Mental Health Biller & Insurance Coordinator who is highly organized, detail-oriented, and confident in managing billing, insurance claims, and client accounts with professionalism and empathy. Position Details Title:
Mental Health Biller & Insurance Coordinator Type:
Part-Time (10-15 hours per week, with growth potential)
Location:
Primarily onsite in Redding, CA, with the possibility of remote work as proficiency in the role increases.
Pay:
$19.00 - $23.00/hour, based on experience Reports to:
Practice Manager, Practice Owner What You'll Do:
Billing & Insurance Responsibilities Submit and track insurance claims accurately and in a timely manner. Verify client insurance coverage and benefits using online portals and phone calls. Follow up on unpaid, denied, or rejected claims; troubleshoot and resubmit as needed. Balance and reconcile client accounts within the Electronic Health Record (EHR) system. Create & distribute Good Faith Estimates & Client Welcome Emails Collect copays, process client payments, and follow up on outstanding balances. Communicate with insurance companies to resolve claim discrepancies. Maintain compliance with HIPAA, insurance policies, and ethical billing practices. Administrative Support (As Needed): Keep client charts up to date and ensure all details are entered into their record. Keep financial and client billing records up to date and organized. Assist with general administrative tasks related to billing and insurance. Adapt to additional responsibilities within the practice as needed. Expand into client care duties (new client inquiry follow ups, networking opportunities, etc) as needed. What We Expect from

Communicate clearly about financial matters while upholding our company values and client-centered care. Respect and affirm clients' identities, including pronouns and cultural considerations. Collaborate with a team of various professionals and communicate effectively with all parties involved.
Ownership & Independence:
Learn quickly and take initiative in managing your responsibilities with minimal oversight. Troubleshoot problems effectively and proactively seek solutions. Stay up to date on industry changes in mental health billing and insurance policies. Attention to
Detail & Problem-Solving Skills:
Ensure accuracy in claim submissions, payments, and account reconciliation. Identify patterns in claim denials and address issues efficiently. Stay on top of your email inbox, following up promptly, and asking for help when needed.
Reliability & Efficiency:
Stay on top of billing deadlines and ensure a smooth process for clients and therapists. Maintain organized, up-to-date records to avoid billing errors and delays.
Requirements Experience:
Minimum 1 year in mental health billing, insurance coordination, or a related field.
Insurance Knowledge:
Familiarity with CPT codes, EHR systems, and insurance claim processes.
Technical Skills:
Proficiency in Google Suite (Docs, Sheets) and experience with EHR software.
Work Habits:
Highly organized, detail-oriented, and able to manage multiple billing tasks efficiently.
Availability:
Ability to check and follow up on claims and payments regularly. Ability to do billing workflow daily. Ability to verify insurance coverage details daily.
What We Offer Pay:
$19.00 - $23.00/hour, based on experience.
