Join our team at the Alachua County Clerk of the Circuit Court as a Staff Assistant in our Felony Department. A Staff Assistant in the Felony Department, under the supervision of the Felony Supervisor, is expected to perform detailed clerical work in and out of the courtroom. Documents must be accurately and efficiently handled and the Staff Assistant serves as a point of contact for the public and legal professionals, providing exceptional customer service and maintaining the integrity of court records. For new hire placement, this position is historically filled at a Level I. Active staff members in this position have the opportunity to progress to Levels II-IV, as the employee becomes proficient in more advanced and specialized tasks.
Essential Job Functions:
Attends multiple types of court hearings based on departmental needs. Prepares cases and materials for trials and other court proceedings. Administers oaths, performs clerical duties during the proceedings; dockets paperwork recorded throughout the proceedings; and completes all necessary paperwork resulting from court hearings. Accurately and timely enters docketing and other required court information into the case management system. Assists internal and external customers by phone, email or in person; provides general information, resolution, and public requests for information; or directs to the appropriate department/entity. Maintains and updates court files; copies and distributes documents to all involved parties and agencies. Maintains integrity and confidentiality of records; maintains case files and assists in case flow management. Reviews and verifies all work processes to ensure accuracy and completion of tasks performed. Participates in cross-training initiatives to acquire knowledge and skill sets to support efficient functioning of the department. Supports the Clerk's Office and judicial schedules through timely and in-person regular attendance. Performs other duties as required, including work as needed to cover absences or otherwise balance workload.
REQUIREMENTS
High school diploma or equivalent required. Associate's degree or higher education in a related field is a plus. Previous experience in a legal or clerical environment and/or experience in case management is advantageous. Must have the ability to deal effectively with customers and resolve problems in a courteous, cool-tempered, and professional manner; as well as efficiently perform detailed work in a fast-paced environment. Must also have the ability to work with and maintain confidential and/or sensitive data and comply with legal advice restrictions of the Clerk's Office.
