Responsible for contacting Court Monitoring clients to provide guidance and resources for successful completion of court ordered conditions by reviewing their progress & documenting the status. Performs duties utilizing court information systems, terminology, procedures, and documents. Provides a variety of support to the Probation & Court Services Department.
Essential Duties and Responsibilities:
Works directly with clients, treatment service providers, public service sites, elected officials, and governmental sources effectively, courteously, and diplomatically, both verbally and in writing. Will deal with sensitive and confidential information. Conducts program intake interviews with Court Monitoring clients, reviews court sentencing requirements, and explains processes for successful completion of program Monitors, validates, and obtains documentation of client's court ordered sentencing conditions Prepares & provides compliance updates, completion verification and violation notifications to the Court, States Attorney, Public Defender, private Defense Counsel and Circuit Clerk Extracts criminal and traffic data through LEADS system for client's compliance monitoring Maintains Court related information into proprietary applications (I-justice & ICIS-R2), spreadsheets and word processing documents E-files and distributes court ordered documents with all associated parties Prepare new client case files and archive termed client case files May have to create, maintain, & distribute office forms, handouts, templates, and resource directories May perform receptionist duties as assigned: assisting clients and visitors, directing calls and inquiries, and having knowledge of all department roles, responsibilities, and schedules Perform duties as assigned to meet needs. Assist and backup for all Court Monitoring roles.
Education and Experience:
Associate's degree; and/or Three or more years of progressively responsible administrative experience Bi-lingual preferred
Knowledge, Skills, and Abilities:
Legal Administrative support policies, practices, processes: such as business letter writing, report preparation, records management techniques, form development, client database management, and other office procedures and technology Microsoft Office Suite (Intermediate level in Excel, Word, PowerPoint, Outlook) Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar Communicating effectively, courteously, and diplomatically; both verbally and in writing Organizing work, setting priorities, meeting critical deadlines, and following up assignments with minimal direction Technical terminology appropriate to the area of assignment Providing varied, responsible, and confidential assistance Using tact, discretion, initiative, and independent judgment within established guidelines
