ESSENTIAL FUNCTIONS
The Cheboygan County Assistant to the Friend of the Court performs a variety of tasks in a busy, fast paced environment. The qualified candidate must possess the following skills and abilities: Extensive computer skills needed for case identification, tracking, monitoring and generating appropriate documents in the Michigan Child Support Enforcement system (MICSES). Maintaining a professional telephone demeanor when handling multiple calls. This includes the ability to provide appropriate information and/or referral in the areas of child custody, parenting time and child support. Providing direct face-to face contact with clients at the office window and demonstrate the ability to provide accurate and immediate information related to child support, custody and parenting time to the client's satisfaction. Refer clients with additional requirements to appropriate coordinating departments such as Probate, County Clerk, Child Protective Services and the Department of Health and Human Services. Maintaining and organizing files and coordinating files with the appropriate court dockets. Maintain case related logs involving clients who visit the window and reason for visit and daily phone log of calls to the Friend of the Court office and purpose of call. Compile monthly statistics for year-end reports to the Friend of the Court. Gather data from office staff and maintain monthly statistical reports for use in the Annual Statistical Report to the State Court Administrative Office. Establish new cases once Summons/Divorce Complaints are received from the Clerk's office. Prepare the client file, set intake appointment, mail intake packets, and refer case to caseworker. Maintain the Friend of the Court webpage on the Cheboygan County Website. Supervise and respond to the general e-mail account for the Friend of the Court. Reply to general e-mails and forward e-mails to caseworkers, the Friend of the Court and the mediator based on content. Keep the Friend of the Court informative bulletin board up to date along with corresponding pamphlets, literature and handouts. Assist clients in taking financial payments at the window then process the payment in MICSES. Aid clients in making over the phone debit/credit card payments through the MISDU online system. Help clients establish an online account allowing access to their personal Friend of the Court case operated through the State of Michigan website. Troubleshoot basic online account questions and refer to the State if questions cannot be handled in office. Maintain an ongoing calendar of staff approved days off, type of time off used and amount of time used. Biweekly reconcile time sheets for submission to the Finance Department for payroll. Monitoring expenditures in Friend of the Court Line Items. Assist caseworkers as needed with filing, mailing and copying of documents. Perform general clerical duties including but not limited to: Maintaining supply inventory and ordering appropriate supplies. Perform offsite shopping trips as needed for supplies not distributed through the traditional supplier. Generating and submitting accurate vouchers. Accurately filing court and client related documents in case files in a timely and organized manner. Providing accurate and labeled court dockets to caseworkers, Friend of the Court and the mediator before established weekly court days. Appropriately processing all incoming office mail. Reply to general mail, date stamp and forward mail to appropriate caseworker, the Friend of the Court or the mediator based on content. Setting office appointments for mediation and client intake. Update client files when change in demographics occurs such as address, phone number and email. Mailing information to clients including but not limited to: client intake appointment, mediation requests and appointment times. Ensuring adequate amount of copies are available for motion packets, popular court forms, client contact forms, parenting time complaints etc. The ability to maintain the highest standard of confidentiality, including successfully passing an annual State required security and confidentiality exam. Monitoring of Friend of Court Website and Court forms to ensure information and forms are most recent and up-to-date. Maintain Learning Management System (LMS) training as required. Assist Director of Friend of the Court in any tasks assigned as needed.

This position strives to provide excellent customer service to members of the general public and other County employees. Personal contact occurs with employees, Department Heads, citizens, and customers of the department. Service is provided in person, by phone or computer contact.

Specialized Skills and Abilities:
Advanced skills in Microsoft Office programs. Ability to communicate effectively, verbally and in writing, and have the ability to pay attention to detail. Knowledge of county government organization, regulations, procedures and policies. Demonstrated ability to maintain professional integrity and respect for colleagues, coworkers and the ability to effectively meet and deal with the public. Demonstrated ability to work in a team environment a positive and productive manner. Ability to work with others in a team setting. Ability to maintain office confidentiality and handle stressful situations.
Employment Qualifications:
Education:
Associates degree with course study in domestic relations, human services, behavioral science, computer science, legal services, social services and/or accounting preferred. Bachelor of Arts or Sciences preferred, but those with work experience in said fields will be considered.
Experience:
One year or more of general office experience, preferably in a Court, Law Office or government agency related setting. Applicant must have at least intermediate knowledge of Microsoft Windows and Microsoft Office or equivalent, basic bookkeeping experience, communication skills, ability to handle difficult situations and/or clients, public speaking and ability to utilized a standard telephone system for communications with the general public, employers and other agencies. Applicant must possess a valid Michigan driver's license and be able to travel for meetings and trainings. Pass a criminal history background check and a drug screen. Working Conditions:
Works in office and locations outside of office within the County building. Must be willing to attend trainings, which may require occasional travel outside of the office.
Pay:
From $22.53 per hour Expected hours: 40.0 per week
