Job Description

Court Coordinator Full-Time, 80 hours/pay Venango County Domestic Relations Office Venango County Courthouse Annex

PAY GRADE

NON-EXEMPT

HOURLY FOUR

$13.8291- $20.6798, $17.3210-$22.5174 effective 1/01/2027 Responsible for all aspects of court scheduling, including assuring that counsel is appointed when necessary, overseeing that Federal Tax Information (FTI) is secure and provides administrative support to all personnel. Completes clerical duties daily. 1. Manages the phone calls at the reception area and transfers them to the appropriate worker. 2. Takes over the counter payments for support cases and enters them into KidStar. Completes daily cash out with the deposits. Prepares the deposits for the Deputy Director to review. 3. Provides clerical assistance to staff and supervisors which include but are not limited to; mailing of orders and documents, filing, creating and maintaining organization systems and stocking office supplies. Takes monthly inventory of office supplies and reports this to the Director and or Deputy Director. 4. Places orders for envelopes when needed. 5. Clean, organize and keep tidy the general office areas weekly. 6. Greets clients and general public in a professional manner. Assists the general public, clients and attorneys by providing basic information in regards to office policies, procedures and Pennsylvania Rules of Civil Procedure. 7. Prepares the annual support court calendar and coordinates the scheduling of Demand/Exception hearings with IV-D attorneys, court reporters, hearing officer and Judges. 8. Contacts the plaintiff, when appropriate, to inquire on IV-D representation for Demand and Exception Hearings. 9. Coordinates with county, state and federal auditors as required. 10. Operates computer, fax, copier and other office equipment as needed. 11. Manages the daily schedule for the Enforcement Officers, Intake Officer, Compliance Officer and Conference Officer. 12. Acts as a back up to the Intake Officer when they are out of the office. 13. Takes detailed notes of the staff meetings and keeps record of the meetings in a binder. 14. Secures and monitors all printed Federal Tax Information, copies of Driver's Licenses and sign in sheet. 15. Keeps record of all office policies and enforces on office security. 16. Performs related duties as assigned by authorized personnel and backup to co-workers when necessary. 1. Attends meetings, court proceedings and training sessions as required. 2. Performs other job-related duties as required. Receives occasional instruction and some supervision from the Director and Deputy Director in regards to daily work duties. None. 1. Works indoors in adequate office space, lighting and ventilation, but subject to fluctuations in temperatures. 2. Works with average indoor exposure to noise and stress, but subject to frequent disruptions. 3. Below normal indoor exposure to dust/dirt. 1. Must possess ability to record, convey, and present information, explain procedures, and follow instructions. 2. Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking with occasional periods of bending, twisting, stooping, and reaching as necessary to carry out essential job duties. 3. Dexterity requirements range from coordinated movements of fingers/hands for computer, to simple dexterity of feet/legs/torso as necessary to carry out job duties. 4. Sedentary work with occasional lifting/carrying of objects with a maximum weight of ten pounds. 5. Must be able to cope with the physical and mental stresses of the position. 6. Must be able to move frequently throughout the workday as needed to carry out essential job duties. 7. Must be able to pay close attention to details and concentrate on work. A. High School diploma or equivalent. B. None. 1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of job. 2. Must possess good communication and interpersonal skills. 3. Must possess ability to function independently, have flexibility, and the ability to work effectively with clients, co-workers and others. 4. Must possess ability to maintain confidentiality in regard to client information and records. 5. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed. 6. Must possess general knowledge of modern office practices and procedures and ability to apply same to essential duties of job. 7. Must possess knowledge and ability to practice current and accurate usage of grammar, spelling, and filing procedures. 8. Must possess ability to perform simple math calculations with accuracy and reasonable speed. 9. Must possess ability to learn county and legal rules, procedures, and practices as necessary within department. 10. Must possess ability to be able to handle a variety of clerical duties and switch from one to another throughout the workday. 11. Must possess initiative and problem-solving skills. Must be able to make independent decisions when circumstances warrant such an action. 12. Must be able to interact with others in a positive and productive manner with minimal conflict.
