GENERAL SUMMARY
Oversees administrative procedures and accounting functions for the Districts Clerk's office; coordinates workflow; and supervises activities.
ESSENTIAL DUTIES & RESPONSIBILITIES
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
  • Supervises staff, which includes prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained; ensuring employees follow policies and procedures; maintaining a healthy and safe working environment; and, making hiring, termination, and disciplinary recommendations.
  • Administers routine personnel matters, which includes administering personnel policies and procedures and overseeing timesheets and payroll functions.
  • Coordinates with e-filing and case management software providers to ensure high performance of data programs and develop remedies to identified program deficiencies; and ensures court section personnel have adequate knowledge of software, data entry and e-filing requirements.
  • Prepares or oversees preparation of Payment Authorization documents for submission to the County Auditor; oversees preparation and balancing of daily collections report and preparation of daily deposit; oversees balancing and preparation of monthly reports for collection activity, reconciling of Bond Account and Registry of Court Account; and oversees maintenance and administration of Custodial Account records.
  • Attends seminars, conferences, workshops and classes to enhance and maintain knowledge of statutes, procedures and developments that affect daily court activities.
  • Oversees state reporting requirements to Office of Court Administration, Criminal Justice Information System, Juvenile Criminal Justice Information System, NICS and Collection Improvement Program.
  • Performs other related duties of a similar nature and level as assigned.
  • Employees are required to comply with safety regulations, procedures and wear personal protective gear if required.
MINIMUM QUALIFICATIONS
Education and Experience 6 months to 1 year of advanced study or training beyond high school equivalency, with 1 to 3 years related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted. KNOWLEDGE, SKILLS, and

  • Ability to implement and supervise a system of standard operating procedures which adheres to applicable laws and regulations

  • Able to learn and understand case management software and online electronic filing programs
  • Knowledge of processes and procedures within other county agencies as it applies to case management software
  • Considerable knowledge of the standard accepted practices and principles of bookkeeping and accounting
  • Ability to establish and maintain complex records and files
  • Ability to learn and understand legislative changes and apply to daily operations
  • Proficiency in legal terminology and communicating legal concepts
  • Supervise and evaluate employees
  • Prioritize and assign work
  • Train, orient, and manage personnel
  • Apply listening and interview skills, work under pressure, address conflict, solve problems, and make sound split-second judgments
  • Read, analyze, and interpret standards, policies, procedures, and regulations
  • Develop and write reports, policies, and correspondence

  • Operate standard office equipment, such as computer keyboards and monitors, copiers, scanners, and telephone
  • Use (or learn to use) computer software and systems applicable to the position
