Groome Transportation is seeking an Office Manager to provide administrative and operational support for the day-to-day activities of an assigned location. This position plays an important role in keeping the operation organized and running efficiently by supporting payroll, employee onboarding, billing, recordkeeping, reporting, and other administrative functions. The Office Manager works closely with the General Manager, Operations, Payroll, Maintenance, and other departments to ensure information is accurate, deadlines are met, and required documentation is maintained. This is a hands-on administrative position requiring strong attention to detail, organization, communication, and the ability to manage multiple priorities in a fast-paced transportation environment. Essential Duties and Responsibilities The essential functions include, but are not limited to: Payroll and Timekeeping Prepare and process location payroll in accordance with established payroll schedules and procedures. Review employee time records for accuracy, completeness, and appropriate coding. Identify missing punches, timekeeping discrepancies, and other payroll issues and coordinate corrections with employees and management. Submit payroll information within required deadlines. Assist employees and managers with routine payroll and timekeeping questions. Maintain organized payroll documentation and records. Prepare driver hours and other payroll-related reports as required. Hiring and Onboarding Support Provide administrative support throughout the hiring and onboarding process. Review applicant information and coordinate interviews as directed. Initiate and monitor required pre-employment processes, including background checks, drug testing, physicals, and other required screenings. Monitor the status of pre-employment requirements and follow up on outstanding items. Complete new-hire onboarding and ensure required forms and documentation are received. Add new employees to applicable company systems and ensure employee information is complete and accurate. Coordinate with Human Resources and management regarding outstanding or incomplete onboarding requirements. Billing and Administrative Support Prepare, review, and process billing information and supporting documentation. Assist with customer invoices and ensure information is accurate and submitted according to established schedules. Research and assist in resolving routine billing discrepancies. Enter invoices, expenses, and other financial information into applicable company systems as assigned. Maintain organized billing and financial records. Assist management with administrative reports, data collection, and other documentation. Coordinate with Accounting and other corporate departments regarding billing or administrative questions. Employee Records and Compliance Administration Maintain accurate employee records and required documentation. Monitor missing or expiring employee documentation and communicate outstanding requirements to management and Human Resources. Assist with maintaining driver qualification documentation and other required records, as applicable. Maintain accurate employee information across applicable company systems. Assist with random drug and alcohol testing administration and employee rosters when assigned. Maintain confidentiality of employee, payroll, customer, and company information. Operational and Fleet Administrative Support Provide administrative support to daily transportation operations. Maintain and prepare operational reports as requested by management or the client. Enter maintenance estimates, invoices, or other information into Fleetio or other applicable systems as assigned. Assist with tracking vehicle documentation, preventative maintenance dates, inspections, registrations, and other administrative requirements. Report identified documentation or system issues to the appropriate manager or department for resolution. Assist with GPS, vehicle, or other fleet-related administrative matters as directed. Communication and Office Coordination Serve as an administrative resource for employees and management at the location. Respond to emails, telephone calls, and other communications in a timely and professional manner. Keep management informed of administrative issues that could affect operations, payroll, staffing, billing, or service. Assist employees with routine administrative questions and direct matters to Human Resources, Payroll, Benefits, or management when appropriate. Maintain office files, supplies, records, and other administrative materials. Coordinate paperwork and information between the location and corporate departments. Support management with special projects and administrative needs. Perform other duties as assigned. Job Requirements:

Qualifications and Education Requirements High school diploma or equivalent required; associate degree or additional administrative/business education preferred. Previous administrative, office management, payroll, billing, transportation, or related experience preferred. Experience processing or reviewing payroll and employee timekeeping strongly preferred. Proficiency with Microsoft Word, Excel, Outlook, and internet-based business applications. Ability to learn and work effectively within HR, payroll, applicant tracking, fleet, and transportation systems. Strong written and verbal communication skills. Ability to appropriately handle confidential and sensitive employee and company information. Conditional offers of employment are subject to successful completion of drug testing, background and motor vehicle record checks, and physical agilities testing. Ability to communicate in English, both verbally and in writing Preferred Skills Strong organizational and time-management skills. High level of accuracy and attention to detail. Ability to remain organized and effective in a fast-paced operational environment Reporting Structure Reports to the General Manager or other designated location management. Provides administrative support to the assigned location. Works closely with Human Resources, Payroll, Accounting, Operations, Maintenance, and other corporate support departments. This position coordinates administrative processes but does not have independent authority to hire, terminate, discipline, set compensation, or make other employment decisions unless specifically authorized. Schedule may occasionally require flexibility based on payroll deadlines, operational needs, or other business requirements. FLSA Classification Non-Exempt (Hourly) This position is classified as non-exempt and is eligible for overtime compensation in accordance with applicable federal, state, and local wage and hour requirements and company policy.
