Job Description
Office Manager Assistant Position Summary The Office Manager Assistant provides administrative, operational, financial, and compliance support for the organization. This position is responsible for coordinating office functions, supporting store operations, maintaining records, handling communications, managing financial tracking, and ensuring timely completion of licensing, contract, and reporting requirements. Essential Duties & Responsibilities Administrative Support Open, sort, and distribute incoming mail and packages. Prepare, organize, and distribute operational packets and reports. Scan, file, and maintain electronic and hard-copy records. Answer and direct incoming phone calls professionally. Coordinate hotel reservations and travel arrangements. Respond to and track store requests. Store Operations Support Process and monitor store orders and supply requests. Enter delivery fee documentation. Financial & Accounting Support Enter and maintain paid-out transactions. Process rental property payments and maintain records. Assist with office P&L entry and reporting. Track, process, and reconcile rebates. Maintain royalty reporting records and assist with royalty payment tracking and submission. Organize and maintain financial records for accounting review. Compliance & Contract Management Maintain and track licenses, permits, and renewal deadlines. Organize and maintain lease agreements and related documentation. Monitor contract renewal dates and coordinate renewal processes. Qualifications Strong organizational and multitasking skills. Excellent communication and customer service abilities. Proficiency in Microsoft Office (Excel, Word, Outlook). Ability to maintain confidentiality and handle sensitive information. Strong attention to detail and time management skills.
