This is an office-based position that plays a critical role in supporting the daily operations, financial processes, and client service standards of our company. We are looking for someone who is dependable, proactive, and takes pride in producing accurate work in a fast-paced environment. The ideal candidate is someone who enjoys creating order, solving problems independently, communicating professionally, and contributing wherever needed to support the success of the team. Billing & Financial Administration Prepare and submit monthly invoices and billing documentation Process AIA pay applications, conditional/unconditional lien waivers, and related billing paperwork Maintain accurate Accounts Payable and Accounts Receivable records Process payments and assist with collections on past-due accounts Identify, investigate, and resolve billing discrepancies Generate and maintain financial reports and tracking logs Maintain organized and accurate client records Administrative Support Answer incoming phone calls and assist clients professionally Coordinate and communicate with internal departments to improve efficiency and accuracy Support office organization, documentation, and operational workflows Assist with special projects, events, and additional administrative needs as they arise Qualifications Required Strong working knowledge of QuickBooks Online Experience with Accounts Payable and Accounts Receivable processes High attention to detail and ability to maintain accurate records Strong computer proficiency, including Microsoft Word, Excel, and Outlook Ability to prioritize tasks and manage multiple responsibilities simultaneously Excellent written and verbal communication skills High school diploma or GED equivalent Preferred Experience with construction-industry billing platforms such as Procore, Textura, and GCPay Previous experience in construction, consulting, or service-based industries Successful candidates will: Demonstrate professionalism, accountability, and personal integrity Be proactive, dependable, and solution-oriented Thrive in a fast-paced, team-oriented environment Have strong organizational and documentation skills Communicate clearly and professionally with clients and coworkers Maintain confidentiality and handle sensitive information responsibly Be willing to step in and help wherever needed Value personal growth, teamwork, and exceptional client service Position Details Full-time, hourly Monday-Friday Office-based position in Phoenix, Arizona If you are looking for a long-term opportunity with a growing company that values hard work, reliability, teamwork, and exceptional client service, we would love to hear from you.
