We are an energetic and ambitious team looking for a long-term, committed individual who will become an integral part of our firm. As one of the first points of contact for clients, visitors, vendors, and other professionals, the Front Office Administrator plays an important role in creating a welcoming, organized, and professional experience while also supporting attorneys and staff with the day-to-day operations of the office. The ideal candidate will possess excellent communication and organizational skills, sound judgment, strong attention to detail, and the ability to effectively manage multiple and changing priorities in a fast-paced professional environment. Prior law office experience and familiarity with legal terminology, procedures, calendaring, and legal practice management software are highly preferred. Responsibilities Greet clients and visitors in a warm, courteous, and professional manner and maintain a welcoming reception area. Answer and manage a busy multi-line telephone system, including screening and directing incoming calls and inquiries to the appropriate attorneys and staff. Take accurate and detailed messages and ensure they are promptly communicated to the appropriate team member. Schedule appointments and assist with maintaining attorney calendars and scheduling. Receive, organize, and appropriately route incoming correspondence and documents. Provide general administrative and clerical support to attorneys and staff as needed. Assist with maintaining an organized and professional front office. Work collaboratively with attorneys and staff to support the efficient day-to-day operations of the firm. Perform other administrative duties and special projects as assigned. Requirements & Qualifications Must be courteous, cheerful, dependable, and punctual, with a positive and helpful attitude toward clients, visitors, attorneys, and staff. Excellent verbal and written communication skills and professional telephone etiquette. Strong organizational and time-management skills with the ability to prioritize and manage multiple tasks effectively in a fast-paced environment. Experience answering and managing a multi-line telephone system. Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams. Experience with legal calendaring and/or legal practice management software is strongly preferred. Ability to maintain professionalism, discretion, and composure in high-pressure or sensitive situations while demonstrating patience and empathy toward clients. Strong attention to detail and a proactive approach to problem-solving. Ability to work collaboratively as part of a team while also taking initiative and working independently when necessary. Ability to maintain confidentiality regarding client and firm information. Previous experience in a law firm or legal administrative position is highly preferred.
