POSITION SUMMARY
The Operations & Reporting Manager serves as a central coordination point for operational reporting, administrative controls, fleet visibility, vendor coordination, collections oversight, claims tracking, and management reporting. This position is responsible for creating accurate, timely, and actionable business information that supports operational decision-making and organizational growth.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Operational Reporting Prepare weekly and monthly operational reports
  • Maintain KPI dashboards and performance reporting
  • Monitor fleet utilization metrics
  • Track vehicle downtime and operational trends
  • Assist ownership with business analysis and planning Fleet Visibility Maintain vehicle inventory records
  • Track vehicles in service, repair, body shop, and rental status
  • Monitor vehicle availability and utilization
  • Coordinate status reporting between departments and vendors Administrative Oversight Maintain operational procedures and documentation
  • Coordinate vendor relationships and reporting
  • Assist with project tracking and implementation
  • Maintain organizational records and reporting schedules Collections & Claims Monitoring Track open claims and claim status
  • Monitor collections activity and aging reports
  • Coordinate follow-up with responsible vendors and service providers
  • Report unresolved items to ownership Financial Coordination Coordinate information requests between ownership, bookkeepers, accountants, tax professionals, and consultants
  • Assist with preparation of management reporting packages
  • Monitor reporting deadlines and required submissions
QUALIFICATIONS
Strong organizational and analytical skills
  • Advanced Microsoft Excel or Google Sheets experience
  • Ability to manage multiple priorities
  • Strong written and verbal communication skills
  • Experience with reporting and process improvement preferred
  • Automotive, fleet, rental, logistics, or operations experience preferred

Pay:
