Office Administrator Anaheim, CA Full-Time | Monday-Friday Join Our Team! We are seeking an experienced, highly organized Office Administrator to support the daily operations of our Anaheim manufacturing facility. This position is ideal for someone who enjoys keeping an office running efficiently, supporting multiple departments, and being a key contributor to a fast-paced production environment. As the Office Administrator, you'll serve as the central administrative hub for our Anaheim location while coordinating with our additional facilities and corporate headquarters.
What You'll Do:
Office Administration Manage daily office operations and administrative functions Maintain office supply inventory and coordinate purchasing Organize and maintain physical and electronic filing systems Coordinate office maintenance, vendors, and equipment servicing Ensure office procedures and company policies are followed Communication & Coordination Greet visitors and answer incoming phone calls and emails Coordinate communication between production, management, corporate offices, and external vendors Assist with internal communications and company announcements Operations Support Prepare production paperwork including work orders, schedules, reports, and logs Assist with data entry and operational reporting Maintain quality, safety, and compliance documentation Support shipping, receiving, and logistics documentation Purchasing & Accounting Support Process purchase orders and vendor invoices Assist with expense tracking and recordkeeping Work closely with accounting on invoice processing and documentation Human Resources Support Assist with new hire onboarding paperwork Maintain confidential employee files Coordinate training records and certifications Support payroll preparation through attendance and timesheet tracking Compliance & Documentation Maintain safety and regulatory documentation Support audits and inspections Keep company records accurate, organized, and current Assist with updating company procedures and policies Additional Responsibilities Provide administrative support to leadership Assist with special projects and process improvements Recommend ways to improve office efficiency Perform other duties as assigned Qualifications High school diploma or GED required Associate's or Bachelor's degree preferred 5+ years of office administration experience Manufacturing, industrial, or operations experience strongly preferred Strong Microsoft Office skills (Word, Excel, Outlook) Experience with ERP systems, QuickBooks, or accounting software is a plus Excellent written and verbal communication skills Spanish bilingual is a plus, but not required What We're Looking For The ideal candidate is: Highly organized and detail-oriented Able to manage multiple priorities simultaneously Professional and dependable Comfortable working with confidential information A proactive problem solver Able to communicate effectively with employees at all levels of the organization Why Join Us?
