Non-Exempt Position Summary The Office Manager / Administrative Assistant provides essential administrative and operational support to ensure the efficient functioning of Faith in Action of the San Gorgonio Pass. This position supports program staff, assists with office coordination, maintains records and documentation, and helps facilitate communication with community members, partners, and program participants. The Office Manager plays a key role in maintaining organized administrative systems that support the organization's programs serving low-income, vulnerable, and unhoused individuals throughout the San Gorgonio Pass region. Key Responsibilities Office Administration Manage daily office operations and ensure the office environment remains organized and functional. Serve as the first point of contact for visitors, phone calls, and general inquiries. Schedule appointments and maintain organizational calendars. Assist with coordination of meetings, events, and staff activities. Administrative Support Provide administrative support to the Executive Director and program staff. Prepare correspondence, reports, and program documentation. Maintain organized filing systems for administrative and program records. Assist with preparation of materials for board meetings and organizational reports. Records and Documentation Maintain confidential client and organizational records in accordance with privacy and confidentiality policies. Assist with document organization for grants, contracts, and program reporting. Track office documents and ensure records are stored according to organizational procedures. Financial and Administrative Coordination Assist with processing invoices, purchase requests, and expense documentation. Support administrative tracking of donations and program expenditures when needed. Coordinate with bookkeeping or accounting staff to maintain organized financial documentation. Office Supplies and Equipment Maintain inventory of office supplies and program materials. Order supplies and coordinate equipment maintenance as needed. Ensure office equipment such as printers, computers, and phones are functioning properly. Community and Client Support Provide general assistance to clients visiting the office and help connect them with appropriate staff or services. Maintain a welcoming and respectful environment for all community members. Assist with outreach events, workshops, or community meetings when needed.
Minimum Qualifications Education:
High school diploma or equivalent required. Associate's degree in business administration, office management, or related field preferred.
Experience:
Minimum 2 years of administrative or office support experience . Experience working in a nonprofit, social service, or community-based organization preferred. Preferred Qualifications Experience supporting nonprofit programs or community service organizations. Familiarity with basic bookkeeping or financial tracking. Experience working with client service documentation systems. Bilingual English/Spanish preferred due to community needs. Knowledge, Skills, and Abilities Strong organizational and time-management skills. Excellent written and verbal communication abilities. Ability to manage multiple tasks and priorities. Proficiency in Microsoft Office or similar software programs. Ability to maintain confidentiality and handle sensitive information responsibly. Friendly, professional demeanor when interacting with staff, clients, and community partners. Working Conditions Primarily office-based work environment. Regular interaction with staff, clients, and community partners. Occasional support for meetings or community events. Physical Requirements Ability to sit, stand, and work at a desk for extended periods. Ability to lift office supplies or materials up to approximately 20 pounds. Compensation Salary or hourly wage commensurate with experience and organizational pay scale. Pay:
$22.00 - $23.00 per hour
