This role is responsible for ensuring the office runs smoothly and efficiently, including meeting and conference room coordination, office supplies and refreshments, employee access and parking arrangements, attendance management, document and administrative support, and general office coordination. The ideal candidate is proactive, responsible, and comfortable handling a wide range of administrative tasks. Strong communication skills in both English and Mandarin Chinese are required, as the role will regularly coordinate with employees, management, and China-based teams. Key Responsibilities Office Operations & Facilities Coordinate meeting schedules, meeting room bookings, and conference room arrangements. Ensure meeting rooms are properly prepared and maintained before meetings. Manage office supplies and daily necessities, including mobile hotspot/Wi-Fi, water and beverages, plates, cups, and other office items. Coordinate office lunch orders, meals, refreshments, and related arrangements as needed. Monitor office supplies and inventory levels and arrange purchases or replenishment when necessary. Coordinate employee access cards, building access, and parking permits. Communicate with building management, vendors, and service providers regarding office-related matters. Help maintain a clean, organized, and functional office environment. Attendance & Employee Administration Take full responsibility for daily office attendance management. Verify and maintain daily employee attendance records. Organize attendance documentation and maintain accurate records. Prepare and maintain official attendance sheets and related reports. Implement and communicate office attendance policies and procedures. Follow up on attendance-related questions, discrepancies, and exceptions with employees and management. Ensure attendance procedures are consistently implemented across the office. Administrative Support Scan, organize, file, and maintain company documents and records. Handle administrative tasks related to checks, including preparing and mailing checks as assigned. Maintain organized physical and digital filing systems. Assist with general office correspondence and administrative documentation. Coordinate deliveries, mail, packages, and other office-related logistics. Assist with various office errands and administrative tasks as needed. Communication & Coordination Serve as a point of contact for employees regarding general office-related questions and requests. Coordinate communication and follow-up between employees, management, vendors, and other relevant parties. Communicate effectively with China-based teams in Mandarin and English as needed. Assist management with administrative coordination and other tasks assigned from time to time. Handle sensitive or confidential information with appropriate discretion. Qualifications Fluent in English and Mandarin Chinese , both written and spoken, is required. Previous experience in office administration, administrative coordination, office management, or a similar role is preferred. Strong organizational and time-management skills. Excellent attention to detail and strong follow-through. Able to manage multiple tasks and priorities in a fast-paced office environment. Strong communication and interpersonal skills. Proficient in Microsoft Office and common office software. Reliable, responsible, and able to work independently. Comfortable handling practical, hands-on administrative tasks and office errands. Professional attitude with a strong sense of ownership and responsibility.
Pay:
$4,000.00 - $5,000.00 per month
