This individual will be responsible for keeping the office, administrative systems, technology platforms, company events, and digital presence organized and running efficiently. The position reports to the Chief Operating Officer and works closely with the CEO, CIO, and other members of the executive team. Key Responsibilities Office Operations Manage the day-to-day operation and organization of the corporate office. Oversee front desk functions, visitors, phones, mail, deliveries, conference rooms, supplies, and office equipment. Coordinate office vendors, maintenance, security, internet, telephone systems, printers, and other workplace services. Maintain a professional, organized, and welcoming office environment. Executive Support Provide administrative support to the C-suite. Coordinate calendars, meetings, travel, reservations, and company functions. Assist with presentations, correspondence, meeting preparation, documents, and special projects. Handle confidential information with professionalism and discretion. File & Information Management Administer Concord's Dropbox environment, folder structure, permissions, and employee access. Maintain organized company-wide digital files and naming standards. Ensure important corporate information is properly stored, accessible, and protected. Company Events Plan and coordinate company dinners, holiday parties, retreats, employee events, investor meetings, and other corporate functions. Manage venues, catering, invitations, reservations, vendors, and event logistics. Digital Presence Help maintain Concord's website, LinkedIn, company profiles, executive bios, team information, and other digital platforms. Coordinate company announcements, photography, press mentions, and updates with outside marketing or PR vendors as needed. Help ensure Concord maintains a current and professional public presence. Corporate Administration Maintain company directories, subscriptions, administrative accounts, software licenses, technology equipment, templates, and recurring renewals. Serve as primary point of contact with Concord's outside IT vendor, overseeing day-to-day service delivery and ensuring hardware inventory, licenses, and equipment records are kept current and accurate. Coordinate document execution and electronic signatures. Maintain relationships with corporate office vendors and service providers. Assist the COO and executive team with special projects and administrative initiatives. Identify opportunities to improve, automate, and organize internal administrative processes. Qualifications Exceptional organization, attention to detail, and follow-through. Strong technology aptitude and ability to learn new systems quickly. Proficiency with Microsoft 365 programs (including Outlook and SharePoint), Dropbox, Claude, and modern business software. Strong written and verbal communication skills. Professional demeanor and ability to interact with executives, investors, employees, and vendors. Ability to manage multiple priorities and solve problems independently. Strong judgment and discretion when handling confidential information. Prior experience in office management, corporate operations, or executive support is required. Real estate, investment management, or professional-services experience is a plus. $80,000.00 - $120,000.00 per year
