We are seeking a powerhouse Office Manager, an exceptionally gracious, warm, and professional leader whose engaging personality and polished demeanor naturally set a welcoming tone across every single patient interaction. The Role This is not a passive, "sit-at-the-desk" administrative role. We are looking for a sharp, fiercely independent, and operationally sophisticated leader with a minimum of 10+ years of medical office management experience, specifically within an OB/GYN environment. The ideal candidate possesses a unique blend of exceptional executive presence, deep clinical understanding, and strong business acumen. You will take ownership of daily office activities: overseeing the billing lifecycle, optimizing workflows, supervising staff, and ensuring our patient base receives a five-star, premium experience from arrival to departure. As a proactive leader with a comprehensive understanding of medical office operations, you will bring deep expertise in practice management, electronic health records (EHR) systems, and medical administrative support. You will be responsible for fostering an efficient, high-end, and compliant healthcare environment, keeping the practice fully aligned with financial targets and healthcare regulations. Key Responsibilities
Practice Management:
Seamlessly supervise all day-to-day administrative, operational, and clinical workflows with minimal oversight required. Supervise and mentor front desk and patient coordination staff. Conduct staff training and performance evaluations and develop workflows that improve efficiency and patient satisfaction.Financial & Billing Mastery:
Oversight of the billing lifecycle, ensuring clean claims, efficient accounts receivable management, and optimal revenue cycle performance. Understands PPO, Medicare, and commercial in and out of network insurance plans.Excellent Patient Relations:
Maintain an elite level of customer service. Comfortably navigate financial discussions, collect balances confidently, and resolve complex patient situations with grace and authority.Boundary Enforcement:
Protect the practice's culture and efficiency. You possess a strong, confident personality and are capable of de-escalating patient and staff issues, and setting firm boundaries with patients or staff when the practice's culture or efficiency is at risk. Can professionally dismiss patients or handle entitled behavior firmly but diplomatically.High-Touch Clinical Connection:
Step into the clinical sphere when high-touch care is needed, including organizing and conducting critical post-operative check-in calls to ensure patients feel supported after surgery.Operational Flexibility:
Be available to support the practice beyond 5:00 PM if operational circumstances arise, and remain accessible via phone/email on weekends for urgent practice matters. Requirements & QualificationsExperience:
10+ years of medical practice management experience required, with experience in an OB/GYN practice.Billing Knowledge:
Thorough understanding of medical billing, coding, and insurance verification workflows ( PPO, Medicare, and commercial in and out of network insurance plans).Clinical Skill Set:
Phlebotomist or a strong back-office clinical background is required (a proactive willingness to assist clinically and perform blood draws is a requirement).Proactive Leadership:
Independent problem-solving, creative improvisation, and self-direction. You see a problem, fix it, and optimize it without needing direction.Personality:
Exceedingly pleasant, meticulously organized, highly creative, and exceptionally reliable with high emotional intelligence.Education :
High School Diploma required; Bachelor's degree in Healthcare Administration or Business preferred.Skills :
Proficiency with EMR/EHR systems and exceptional multitasking abilities. What We Offer- Competitive base salary of $75,000 - $85,000 (commensurate with experience).
