Burbank, CA - Onsite (moving to Glendale in November) About the Opportunity TalentoHC is partnering with a leading entertainment company seeking a Receptionist/Office Administrator to join its team. This role works alongside the Office Manager, assisting with a variety of administrative responsibilities within the organization. The ideal candidate will be responsible for welcoming visitors and supporting various administrative projects, operating onsite from 8:30 am-5:30 pm, Monday through Friday. This is a great opportunity for individuals who enjoy working in a fast-paced office environment and are available on these specific days. Key Responsibilities Greet visitors professionally, verify credentials, manage sign-in/out, validate parking tickets, and provide refreshments as needed; welcome known vendors and escort them to appropriate service locations Answer and route incoming phone calls courteously, offering general information to callers; serve as the primary contact for employee questions and office-related inquiries Receive, log, and notify recipients of incoming packages and mail, ensuring secure handling Keep the reception area and common spaces clean, organized, and presentable, conducting regular walkthroughs Oversee inventory, ordering, and budget-conscious replenishment of office and breakroom supplies, snacks, and beverages Oversee performance of service vendors (janitorial, coffee, shredding, water) and serve as liaison between landlord and sublandlord for contract, campus, and building matters Manage building access control, including issuing, monitoring, and terminating access badges Assist HR with onboarding, welcoming new hires, touring the office, and introducing them to the team Input facility service and HVAC requests to the building engineer, and monitor/delegate tickets through Zendesk as the initial screening point for office requests Handle catering requests from internal teams and work closely with the Office & Events Coordinator on in-office catering and event logistics Prepare and deliver monthly expense reports and summaries of office-related purchases Assist with business card requests and create FedEx labels or sub-accounts for employees Manage onsite and offsite storage units, conducting bi-annual cleanings to maintain organization and accessibility Conduct annual evacuation drills and bi-annual office deep cleanings with building managers and janitorial team Support office moves, furniture setup, and travel between office locations or storage units Qualifications Onsite at Burbank office 5 days a week (Monday-Friday) Minimum 2 years of experience in a receptionist, office administration, or similar role Familiarity with vendor coordination and office operations Must be able to lift at least 30 pounds Excellent verbal and written English communication and interpersonal skills (Japanese is a plus but not required) Positive, flexible attitude and ability to interact with people of all levels within and outside the company with a friendly and professional demeanor Strong proficiency in MS Word, Excel, Outlook, and PowerPoint, with familiarity in Adobe Strong organizational skills, with the ability to manage multiple tasks and maintain clean, orderly common areas Effective problem-solving and time management skills to prioritize tasks in a fast-paced environment Adaptable and comfortable with occasional travel between office locations and handling office moves Proactive mindset, anticipating office needs (supplies, catering, event support) before issues arise Discretion and confidentiality when managing sensitive information (interview scheduling, vendor contracts) Strong relationship-building skills, maintaining positive interactions with vendors, visitors, and internal teams Calm, effective conflict resolution when addressing unexpected issues (service delays, package disputes) Ability to multitask under pressure and take ownership of office-related inquiries without passing off responsibility About TalentoHC Build Your Best Team Yet Executive Search | Talent Strategy | Human Capital Consulting TalentoHC is a global executive search and human capital consulting firm helping organizations build high-performing leadership teams that drive growth and transformation.
