We are looking for an experienced, organized Office Manager/Bookkeeper to manage daily office operations, maintain accurate financial records, and support our field team. This position works directly with the owner, clients, contractors, and vendors to keep scheduling, billing, communication, and project paperwork on track. The ideal candidate takes initiative, communicates clearly, and follows tasks through to completion. Responsibilities Manage daily office operations, including answering calls and emails and responding professionally to clients, contractors, and vendors. Maintain accurate QuickBooks records, including customer invoices, payments, vendor bills, and expenses. Prepare and send invoices, monitor outstanding balances, and follow up on overdue payments. Organize receipts and supplier invoices and assign expenses to the appropriate jobs. Reconcile bank and credit card accounts and coordinate with the company's accountant to resolve discrepancies and provide supporting records. Prepare and send owner-approved estimates and change orders, track client approvals, and maintain current project documentation. Coordinate service appointments and crew schedules with the owner and field team, confirm job details and site access, and communicate schedule changes. Collect and review employee timesheets, follow up on missing information, and prepare information for payroll processing. Maintain organized digital job files, calendars, and follow-up lists. Coordinate with vendors regarding approved orders, deliveries, and outstanding paperwork. Track deadlines and pending items, follow up consistently, and bring unresolved issues to the owner's attention. Order office supplies and maintain an organized, professional workspace. Requirements Previous office management or administrative experience with hands-on bookkeeping responsibilities. Proficiency in QuickBooks, including invoicing, payments, vendor bills, expense tracking, and account reconciliation. Strong organizational skills and attention to detail. Clear, professional written and verbal communication. Ability to prioritize competing deadlines and work independently after training. Confidence following up with clients, vendors, and team members to resolve outstanding items. Proficiency with Microsoft Word and Excel, email, shared calendars, and digital filing systems. Ability to handle confidential financial, employee, and client information discreetly. Preferred Qualifications Experience working in an electrical, construction, or service contractor's office. Familiarity with project billing, change orders, job cost tracking, and scheduling field personnel. Experience preparing payroll information and working with an outside accountant.
