This role includes QuickBooks bookkeeping responsibilities, operational coordination, administrative support, and assisting leadership with evolving business needs. This position is ideal for someone who enjoys taking ownership, getting ahead of issues, and improving processes. The right candidate is highly organized, adaptable, and comfortable working in a small team where responsibilities vary and no task is too small. Operations Responsibilities Oversee day-to-day business operations to ensure smooth workflow across departments Develop, improve, and document operational processes and procedures Coordinate client onboarding and implementation logistics Manage order processing and operational tracking Identify issues proactively and implement solutions Assist CEO with operational priorities and ad hoc needs Coordinate internal communication and follow-ups Support vendor coordination and operational logistics Maintain internal organization of documentation and workflows Assist with onboarding new employees and maintaining basic HR documentation Support general HR-related administrative tasks in a small team environment Wear multiple hats to support evolving business needs Accounting & QuickBooks Responsibilities Manage invoicing and billing in QuickBooks Perform daily bank and credit card transaction matching Reconcile accounts monthly Categorize transactions to correct chart of accounts Generate sales tax reports Track payments and outstanding invoices Assist with financial reporting Coordinate with external accountant as needed Administrative & Business Support Maintain CRM records and customer information Support sales team with administrative coordination Assist with scheduling and internal coordination Organize files and operational documentation Provide general business support across the team Qualifications QuickBooks experience required 3+ years experience in operations or office manager role Experience with bookkeeping functions including invoicing, transaction categorization, and account reconciliation Strong organizational and multitasking skills Excellent attention to detail and accuracy Ability to identify issues and proactively solve problems Comfortable working in a small, fast-paced environment Strong written and verbal communication skills Ability to work independently and manage priorities Experience supporting executives or leadership preferred Experience improving workflows or operational processes preferred
