  • Full-time Position Summary The Office Administrator provides high-level administrative and clerical support to attorneys and staff in a fast-paced legal environment.
This role serves as the first point of contact for clients and is essential to maintaining efficient office operations, organization, and clear communication. The Office Administrator ensures all activities are handled in compliance with applicable legal and ethical standards. Law practice concentrates in estate planning (trusts, wills, powers of attorney, etc.) and trust and estate administration. Key Responsibilities Front Desk & Administrative Support Answer and direct incoming calls in a professional and courteous manner Greet and assist clients, visitors, and vendors, ensuring a positive first impression Schedule and coordinate appointments; manage attorney and office calendars Prepare daily operational reports, including calendar updates, mail logs, and call summaries for staff meetings Process incoming and outgoing mail, including certified and overnight deliveries Support client billing, invoicing, and accounts receivable tracking Maintain and organize client files, both physical and off-site, ensuring accuracy and accessibility Provide general administrative support and assist with special projects as needed Office Operations & Maintenance Maintain a clean, organized, and professional office environment Monitor inventory and order office supplies; coordinate with vendors as necessary Coordinate maintenance, repair, and servicing of office equipment Legal & Case Support Provide administrative support to attorneys and legal staff Open and maintain client and matter files in accordance with firm procedures Enter and update information in case management systems with a high level of accuracy Communicate with clients to obtain necessary information and documentation in a timely manner
Qualifications Required:
High school diploma or equivalent Prior administrative or office experience (legal office experience preferred) Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to manage multiple tasks and meet deadlines Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to handle confidential information with discretion and in accordance with ethical obligations
Preferred:
Experience with legal software (e.g., TimeMatters, HotDocs, or similar systems) Familiarity with WordPerfect or Quattro Pro California Notary Public commission (or willingness to obtain) Hours MTWTh 8-5, F 8-12
Pay:
$22.00
