Office Administrator Overview We are seeking a detail-oriented, highly organized Office Administrator to oversee day-to-day office operations, administrative accounting functions, and HR support for our team. Duties Payroll & Timekeeping:
Review employee timecards, input accurate payroll data, and generate and submit electronic Certified Payroll reports via LCP Tracker and the DIR.
Financial & Accounting Support:
Reconcile credit cards and bank statements, organize and pay invoices, make bank deposits, and assist our accountant with quarterly tax payments and PTE filings.
Audit & Compliance Management:
Prepare documentation and actively participate in union (Laborer/Operator) and Worker's Compensation audits; notarize business documents as required.
Contracting & Bidding Coordination:
Draft subcontracts, collect certificate of insurance (COI) documents from subcontractors, request bid, payment, and performance bonds, and attend pre-bid and pre-construction meetings.
HR & Staff Support:
Assist with onboarding and distribution of new employee application packets and maintain updated job boards.
Office & IT Operations:
Answer all incoming phone calls and emails, order and manage office supplies, and coordinate IT/equipment maintenance for printers, computers, and software systems.
Skills Software Proficiency:
High proficiency in Microsoft Office Suite (Excel, Word, Outlook) and certified payroll platforms (QuickBooks, LCP Tracker, CA DIR).
Financial Literacy:
Strong understanding of basic bookkeeping, bank/credit card reconciliation, AP/AR processes, and payroll workflows.
Organization & Detail-Oriented:
Exceptional time-management abilities with strict attention to detail for multi-faceted tasks and audit compliance.
Communication:
Clear, professional verbal and written communication skills for vendor interactions, client emails, and telephone calls.
Notary Public:
Active State Notary Public license (or willingness to obtain upon hire).
Pay:
$25.00 - $29.00 per hour Expected hours: 40.0 per week
