CONSTRUCTION OFFICE ADMINISTRATOR BNC
Builders, Inc. —

$28-$32 per hour

Full-time, hourly, nonexempt

Monday-Friday, 8:00 a.m.-4:30 p.m.

Builders is a growing residential construction company serving San Diego County. We specialize in kitchens, bathrooms, full-home remodels, additions, ADUs, garage conversions, exterior improvements, and outdoor living spaces. We are building the systems and administrative structure needed for our next stage of growth. We are looking for a highly organized, technology-capable Construction Office Administrator who wants to become a trusted, long-term member of our company. This person will serve as the administrative backbone of BNC Builders. You will receive hands-on training, gradually take ownership of recurring back-office responsibilities, and have opportunities to advance into senior office administration, office management, or administrative operations leadership . This position is ideal for someone who enjoys creating order, improving systems, solving problems, and making sure important responsibilities are completed accurately and on time.
POSITION OVERVIEW
The Construction Office Administrator will report to our Operations Lead and work closely with company leadership, project managers, field personnel, subcontractors, vendors, our professional bookkeeper, and insurance representatives. Our Operations Lead manages daily construction operations, including project schedules, clients, project managers, subcontractors, vendors, and purchasing oversight. Our professional bookkeeper manages formal bookkeeping, reconciliations, financial statements, month-end closing, and accounting decisions. Your responsibility will be to maintain the accurate records, documentation, administrative systems, and follow-up processes that support these functions. Responsibilities will be introduced gradually through training, written procedures, and clear priorities.
WHAT YOU WILL OWN
Payroll and Employee Administration Collect and review employee timekeeping information Verify hours, overtime, project assignments, reimbursements, and approvals Follow up on missing or inconsistent payroll information Prepare accurate payroll information for submission Maintain confidential employee records Coordinate onboarding forms and required employee documentation Accounting and Office Administration Organize bills, invoices, receipts, statements, and supporting documents Match invoices with purchase orders, approvals, and delivery information Identify discrepancies before documents are submitted for payment Coordinate requested information with the company's bookkeeper Maintain organized vendor and customer records Organize company email, calendars, files, and recurring deadlines Purchase Orders and Project Documentation Create and maintain purchase orders Track quotes, approvals, specifications, confirmations, and deliveries Organize project records in Buildertrend and Google Drive Maintain contracts, change orders, plans, permits, inspection records, and client approvals Follow up on missing documents, signatures, and administrative deadlines Keep project information current and easy for authorized team members to locate Insurance and Compliance Maintain subcontractor agreements and required records Collect and track licenses, W-9s, insurance certificates, and expiration dates Follow up on missing or expired documentation Track insurance renewals and compliance deadlines Communicate concerns to the Operations Lead before deadlines are missed Systems and Process Improvement Document processes explained by company leaders and team members Create and maintain SOPs, checklists, templates, and trackers Prepare meeting agendas and record important decisions Maintain action-item and accountability lists Help prepare weekly company scorecards Support structured weekly meetings, priorities, and accountability systems Research administrative tools and recommend process improvements
WHAT SUCCESS LOOKS LIKE
The right person will: Take ownership of recurring responsibilities without repeated reminders Keep payroll and employee information accurate and confidential Maintain organized bills, invoices, receipts, purchase orders, and project records Prevent insurance and subcontractor documents from expiring unnoticed Track deadlines, approvals, and follow-ups until they are completed Notice missing or inconsistent information before it becomes a larger problem Research routine issues and bring possible solutions to the Operations Lead Ask appropriate questions while learning new responsibilities Communicate early when a deadline or commitment may be at risk Remain organized when priorities change Create systems that other team members can understand and use Make the Operations Lead and the rest of the company more effective
REQUIRED QUALIFICATIONS
At least two years of relevant office administration, payroll support, accounting support, construction administration, operations support, or similar experience Strong organizational and time-management skills Professional written and verbal communication Strong computer navigation and typing ability Proficiency with Google Workspace or Microsoft Office Ability to create and maintain organized spreadsheets Strong attention to detail and numerical accuracy Ability to manage multiple deadlines and recurring responsibilities Ability to learn new software and digital systems quickly Ability to protect confidential employee and company information Ability to follow detailed instructions during training Ability to work independently after learning a process Dependable attendance and punctuality Availability to work full-time at our Escondido office
PREFERRED EXPERIENCE
The following experience is valuable but not required: Three or more years of administrative experience Residential construction, remodeling, or contractor-office experience Payroll preparation or employee timekeeping QuickBooks or similar accounting software Purchase orders, invoices, receipts, and vendor documentation Subcontractor agreements and insurance certificates Buildertrend, CRM, or project-management software Google Sheets or Microsoft Excel SOP, checklist, or process documentation Bilingual English and Spanish communication Construction experience is helpful, but administrative ability, technology skills, accuracy, attitude, and follow-through are more important .
