Job Description

Job Overview We are seeking a dynamic and organized Front Desk Office Administrator to serve as the welcoming face and operational hub of our office. This role involves managing front desk activities, providing exceptional customer support, and ensuring smooth office operations. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to create a positive first impression for visitors and clients while maintaining efficient administrative workflows. Duties General office duties, including answering phones & emails, scanning, faxing, etc. Manage multi-line phone systems, screen calls, and direct inquiries efficiently. Schedule appointments, coordinate meetings, and manage calendar arrangements. Perform data entry tasks using Microsoft Office Suite and Google Workspace to update client records accurately and frequently. Assist with clerical duties such as filing, proofreading documents, and maintaining organized records. Provide administrative support including preparing client correspondence, preparing various business administrative paperwork and conducting research on various topics as needed. Manage client collections through professional phone and email communication regarding outstanding balances. Prepare invoices, process checks, and handle client payments accurately and securely. Perform high-volume data entry with exceptional attention to detail and accuracy. Prepare, organize, and mail important financial and legal documents in a timely manner. Communicate professionally with client, answer general inquiries, and direct matters to the appropriate team member when necessary. Effectively manage multiple priorities and maintain productivity in a fast-paced environment, especially during tax season. Assist in maintaining workflow during peak tax season and meeting strict deadlines. Follow up with clients regarding missing documents, signatures, and required forms. Communicate with government agencies, banks, and third-party vendors when necessary. Skills Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. High level of Customer Service is Required. Reliable transportation with the ability to run occasional office-related errands (post office, office supply purchases, etc.) Strong computer literacy with excellent typing speed and data entry accuracy. Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent phone etiquette with experience managing multi-line phone systems. High level of Customer Confidentiality is Required. Maintain organization and administrative efficiency across all office operations and filing systems. Adapt quickly to changing priorities and operational needs in a deadline-driven environment. Bilingual proficiency in English and Armenian preferred.
Pay:
$20.00 - $25.00 per hour
