Full-Time We are seeking an experienced, organized, and dependable Medical Office Manager to oversee the daily administrative and operational functions of our medical office. The ideal candidate will have a minimum of 3-4 years of experience working in a physician or medical office , with prior experience managing staff and day-to-day office operations. This position requires someone who is proactive, professional, highly organized, and comfortable taking ownership of the office's workflow and ensuring that patients, providers, and staff have a smooth and efficient experience. Responsibilities Manage and oversee the daily operations of the medical office Supervise, train, schedule, and support front-office and administrative staff Ensure staff productivity, accountability, and completion of assigned responsibilities Oversee patient scheduling, appointment confirmations, cancellations, and follow-ups Monitor patient flow and help ensure the office runs efficiently and on schedule Oversee patient registration, intake forms, medical records, and required documentation Ensure incoming phone calls, messages, faxes, and emails are handled promptly and professionally Coordinate communication between patients, providers, staff, insurance companies, and outside offices Oversee insurance verification, authorizations, referrals, and basic billing-related workflows Monitor outstanding patient tasks and ensure appropriate follow-up Maintain accurate office records and administrative reports Assist with hiring, onboarding, training, and performance management of office staff Develop and enforce office policies, procedures, and workflows Maintain compliance with HIPAA and applicable medical office policies and regulations Handle patient concerns and resolve administrative issues professionally Monitor office supplies and coordinate ordering and vendor relationships Maintain a clean, organized, professional, and patient-friendly office environment Work closely with physicians and management to identify and correct operational inefficiencies Perform other administrative and management duties as needed Qualifications Minimum 3-4 years of experience in a physician's office or medical practice required Previous medical office management or supervisory experience strongly preferred Strong understanding of medical office operations and patient scheduling Familiarity with EMR/EHR systems Knowledge of insurance verification, referrals, authorizations, and medical billing workflows Strong leadership and staff-management skills Excellent organizational and multitasking abilities Strong written and verbal communication skills Professional and patient-focused demeanor Ability to handle confidential information appropriately and maintain HIPAA compliance Comfortable using computers, email, Microsoft Office, and medical office software Ability to work independently, prioritize responsibilities, and solve problems without constant supervision What We're Looking For We are looking for someone who does more than simply complete assigned tasks.
