Duties Oversee daily office operations, ensuring all administrative tasks are completed efficiently and accurately Manage scheduling for staff, meetings, events, and appointments to optimize productivity Supervise administrative staff, providing training, guidance, and performance feedback to foster professional growth Coordinate with vendors for supplies, maintenance services, and other office needs to ensure seamless operations Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes using accounting and financial software like QuickBooks Maintain organized filing systems for confidential documents, client records, and financial data using Microsoft Office tools and spreadsheets Assist with budgeting and bookkeeping activities to monitor expenses and support financial reporting efforts Manage front desk responsibilities including greeting visitors, answering phones with professional etiquette, and directing inquiries appropriately Support event planning initiatives for team meetings or company functions to promote engagement and collaboration Ensure compliance with office policies and procedures while fostering a welcoming environment Qualifications Proven supervising experience in an office or administrative setting with strong team management skills 5+ years Demonstrated expertise in schedule management, vendor management, and office organization Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets for data tracking Experience with accounting software such as QuickBooks or similar financial tools; knowledge of bookkeeping and payroll processes is essential Strong communication skills—both verbal and written—with excellent phone etiquette Ability to handle confidential information discreetly while maintaining professionalism at all times Exceptional organizational skills with keen attention to detail in filing, record keeping, and calendar management Background in human resources or office management preferred; experience supporting event planning is a plus Technical proficiency in using office equipment and software solutions to streamline workflows Customer service orientation with the ability to manage client communication effectively Join us as an Office Supervisor where your leadership will empower our team to succeed!
