Senior Administrative Assistant/Office Manager

  • $35•40/hour•San Rafael We are seeking a seasoned administrative professional who takes pride in keeping an office running smoothly and supporting busy professionals at a high level.

This is an ideal opportunity for a career Executive Assistant, Office Manager, or Senior Administrative Assistant with 10+ years of experience who still enjoys being directly involved in the day-to-day work. You are warm, steady, and highly dependable with the ability to move comfortably from managing an Executive calendar and preparing polished client materials to organizing a team lunch, setting up a workspace, or restocking the kitchen. You will serve as a trusted administrative resource and welcoming presence for a collaborative staff.

Start:

ASAP Baclkground check: Performed prior to start Administrative Assistant / Office Manager duties: Provide hands-on administrative support to two Principals and the Director of Operations, including complex calendar and meeting management, client correspondence, occasional travel coordination, and workflow support. Prepare, format, proofread, and maintain polished client-facing proposals, presentations, reports, and shared documents. Coordinate employee and client meetings and events from start to finish, including scheduling, communications, logistics, meals, and follow-up. Manage day-to-day office operations, including supplies, team activities, common-area setup, light cleanup, food runs, errands, and other practical needs. Enter and maintain accurate lead, contact, RFP, and engagement information in the company's CRM. Serve as the office's utility player, providing administrative backup and stepping in wherever an extra hand is needed. Administrative Assistant / Office Manager qualifications: 10+ years of progressive experience as an Executive Assistant, Office Manager, Senior Administrative Assistant, or in a comparable career administrative role. A stable employment history, ideally including tenures of three or more years and at least one long-term position of five or more years. A genuinely hands-on mindset, with equal enthusiasm for executive-level support and the tasks that keep an office welcoming and functional. A warm, calm, and team-first presence, with the ability to welcome, onboard, and look after employees across career stages and generations. Exceptional organization and the ability to manage competing priorities, changing needs, and shifting deadlines. Excellent written communication, proofreading, and document-formatting skills, with meticulous attention to accuracy and presentation. Intermediate Microsoft Word and PowerPoint proficiency, plus working Excel skills. Prior hands-on experience with a CRM or business database. Microsoft Dynamics 365 is preferred; Salesforce or a similar platform is also relevant. Proven discretion, sound judgment, dependability, and professionalism when supporting leaders and communicating with clients. Bachelor's degree or equivalent professional experience preferred.
