Job Description
Job Overview We are seeking a dynamic and highly organized Office Assistant Manager to join our dealership team. This vital role combines administrative excellence with customer service expertise, ensuring smooth daily operations and exceptional client interactions. As an Office Assistant Manager, you will oversee front desk activities, manage office workflows, and support dealership management to create a welcoming and efficient environment. Your proactive approach and strong organizational skills will drive operational success and enhance the overall customer experience. DUTIES
- Assist the Controller/Office Manager with daily dealership office operations
- Assist with Accounts Payable (AP) and Accounts Receivable (AR)
- Review dealership paperwork for accuracy and completeness
- Assist with vehicle deal processing, funding follow-up, and deal schedules
- Assist with DMV, title, registration, and lienholder paperwork
- Follow up on missing documents, titles, invoices, and outstanding items
- Assist with payroll documentation and employee records as needed
- Maintain and reconcile accounting schedules
- Assist with month-end accounting and reporting
- Communicate with Sales, Finance, Service, Parts, and other departments
- Work with banks, lenders, vendors, and other outside parties when necessary
- Maintain organized dealership records and filing systems
- Assist with training and supporting office staff
- Maintain confidentiality of customer, employee, payroll, and financial information
- Provide office coverage and support when the Controller/Office Manager is unavailable
- Perform other administrative and accounting duties as assigned Qualifications
- Previous automotive dealership office experience preferred
- Experience with AP, AR, DMV/title processing, contracts, or dealership accounting is a plus (Automate, CDK, Reynolds & Reynolds.)
