Office Administrator / Bookkeeper Established General Contractor | Lockeford, California An established general contracting company is seeking an experienced Office Administrator / Bookkeeper to manage the day-to-day administrative and bookkeeping functions of our Lockeford office. Bilingual English/Spanish candidates are strongly encouraged to apply. This is an important, hands-on position in a small-business environment. We are looking for someone who takes ownership of their responsibilities, pays close attention to detail, understands priorities and deadlines, and is comfortable moving between bookkeeping, customer service, contracts, proposals and general office administration throughout the day. Our office is located in a pleasant country setting in Lockeford, California. Overview The Office Administrator is a critical member of our team and serves as a central point of support for the company's president, sales representatives, customers and field operations. Because this is a small office, the person in this position has a significant amount of responsibility and independence. We are looking for someone who is dependable, organized, resourceful and able to recognize what needs attention and follow through.
Responsibilities Day-to-day responsibilities include:
Maintain QuickBooks Online accounting records, including accounts payable and accounts receivable Perform bank and credit-card reconciliations Maintain accurate job-costing records Prepare customer invoices and assist with accounts-receivable follow-up Coordinate payroll information and reporting with our third-party payroll provider Prepare and organize customer proposals, contracts and related documents Coordinate and schedule repair and/or service calls for travel efficiency. Provide general administrative and marketing support to the president and sales representatives Communicate professionally with customers, vendors, employees and other business contacts Assist an affiliated company with QuickBooks bookkeeping, including accounts payable and accounts receivable Maintain organized electronic and paper records Answer phones, greet visitors and handle incoming and outgoing mail Qualifications Minimum of 2 years of hands-on QuickBooks bookkeeping/accounting experience Experience with accounts payable, accounts receivable and bank reconciliation Strong working knowledge of Microsoft Word and Excel Excellent written and verbal communication skills Bilingual English/Spanish strongly preferred Strong organizational and time-management skills Ability to distinguish between urgent, time-sensitive and routine tasks and prioritize accordingly Ability to manage multiple responsibilities and meet established deadlines High degree of accuracy and attention to detail Good judgment, critical-thinking and problem-solving skills Initiative and ability to work independently without constant supervision Professional, friendly and customer-service oriented Ability to maintain confidentiality regarding company, employee and customer information Comfortable working in a small-business environment where responsibilities may vary from day to day Experience in construction accounting, job costing, contracting and/or property management is highly desirable The position also requires the ability to sit or stand for extended periods and occasionally walk around the property, bend or stoop as necessary. Reliability, Attendance & Time Management Because this is a key position in a small office , consistent and reliable attendance is important to the success of the role. The Office Administrator handles time-sensitive accounting, payroll, customer-service and administrative functions that require dependable office coverage during regularly scheduled work hours. The successful candidate will be able to organize their workday, establish priorities and plan ahead to minimize disruptions to normal business operations. We understand that occasional unexpected circumstances arise; however, this position requires someone who can maintain a consistent and dependable work schedule . Good communication is equally important. When circumstances affect a deadline or office coverage, we expect the Office Administrator to communicate promptly and plan accordingly. The Person Who Will Do Well Here This position is particularly well suited to someone who enjoys being the person who keeps the office organized and moving forward . You notice when something needs attention and take the initiative to handle it. You understand that some tasks can wait while others—such as payroll, a customer issue, a proposal deadline or an accounting matter—need immediate attention. You are equally comfortable reconciling a QuickBooks Online account, preparing a customer proposal, answering a customer question or figuring out why something doesn't balance. Accuracy matters to you, but so do timeliness, follow-through and good customer service. Because we work with a diverse group of customers, employees, vendors and other business contacts, the ability to communicate comfortably and professionally in both English and Spanish is highly valued.
