Job Summary We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure a smooth, efficient workplace environment. This role is vital in coordinating office activities, managing communication channels, and supporting staff to maximize productivity. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to keep the office running seamlessly while fostering a positive and professional atmosphere. Duties Manage daily office operations, including overseeing clerical tasks, filing systems, and supply inventory to ensure an organized workspace. Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems with professionalism, and directing calls efficiently. Coordinate calendar management and scheduling for team meetings, appointments, and events using productivity software. Handle data entry tasks accurately using spreadsheets and word processing tools such as Microsoft Office; maintain detailed records of correspondence and transactions. Support client communication efforts through courteous customer service and timely follow-up via phone or email. Assist with bookkeeping activities by utilizing QuickBooks for invoicing, expense tracking, and financial record keeping. Facilitate office management functions including organizing files, maintaining office equipment, and ensuring compliance with company policies. Provide personal assistant support to executives or team members as needed, including travel arrangements and task prioritization. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills. Experience with QuickBooks accounting software for financial management. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong communication skills, including phone etiquette and client interaction capabilities. Bilingual abilities are a plus to support diverse client and staff needs. Knowledge of multi-line phone systems and front desk operations. Data entry expertise with high accuracy and attention to detail. Demonstrated clerical experience supporting administrative functions such as filing, document processing, and calendar management. Ability to manage time effectively while handling multiple priorities simultaneously. Customer service orientation with a friendly demeanor and professional appearance.
