We have been in business for over 35 years and have approximately 25 employees . We are looking for an experienced, highly organized Office Manager who can take ownership of the day-to-day administrative operations of our office and become a dependable part of our management team. This is a fast-paced position with frequent communication between ownership, management, sales, office staff, field employees, and customers. The right person will be confident, resourceful, organized, professional, and comfortable taking initiative without requiring constant direction or follow-up. Key Responsibilities Answer and manage incoming telephone calls professionally Provide excellent customer service by telephone and email Schedule jobs, inspections, and appointments Coordinate scheduling changes and communicate updates to the appropriate parties Maintain regular communication with customers regarding scheduling, job status, questions, and other needs Communicate throughout the day with management, sales, office staff, and field employees Help ensure information is accurately communicated between the office and field Assist with invoicing and related administrative responsibilities Maintain and manage calendars, schedules, job information, and office documentation Track outstanding items and follow up until they are completed or resolved Assist ownership and management with day-to-day administrative and operational needs Help coordinate and provide direction to other office staff as needed Recognize time-sensitive matters and adjust priorities based on management's needs Learn company procedures, services, terminology, customers, and workflow quickly Develop and maintain effective organizational systems to ensure deadlines, follow-ups, and outstanding tasks do not fall through the cracks Handle additional office management and administrative responsibilities as needed Qualifications Minimum 3 years of office management experience required Construction industry experience strongly preferred Proficiency with Microsoft Office Experience with or ability to quickly learn FieldPulse Experience using Google Calendar and managing multiple schedules Excellent telephone etiquette and customer service skills Strong written and verbal communication skills Exceptional organizational and time-management abilities Ability to manage multiple priorities, interruptions, and changing demands throughout the day Strong attention to detail and follow-through Ability to learn a new industry and company operations at an accelerated pace Ability to work independently without requiring constant supervision, reminders, or follow-up Good judgment and the ability to recognize when an issue requires immediate attention or management involvement Ability to remain professional and composed when dealing with challenging situations and a variety of personality and communication styles Comfortable receiving direct communication, instruction, and constructive feedback Ability to work effectively under pressure while maintaining accuracy and professionalism What Success Looks Like in This Role We are looking for someone who takes ownership of their position and the office , rather than simply waiting for the next task to be assigned. You should naturally keep track of what needs to be done, what is still outstanding, and what requires follow-up. If something is unclear, we expect you to ask questions. If management is unavailable at that moment, we expect you to make note of the issue and follow up later rather than allowing it to be forgotten. Priorities can change throughout the day. The right person will be able to recognize those changes, adjust accordingly, and understand that management may need certain items handled before others. You should be comfortable developing your own organizational systems for managing daily, weekly, and ongoing responsibilities. Ownership should not have to continuously remind you about deadlines, outstanding tasks, or necessary follow-ups. Because this position is a central point of communication within the company, you must be comfortable communicating with ownership, management, sales, office employees, field employees, and customers throughout the day. This position reports directly to the Owner and will also assist with the coordination and management of other office staff as needed.
