Job Summary Job Summary Description of Position:
The Athletics Office Manager provides administrative, organizational, and operational support to the Athletics Department and ensures the efficient day-to-day functioning of the athletic programs. The Athletics Office Manager works closely with the Athletic Director and department staff to support programs in alignment with ADLA policies, California Interscholastic Federation (CIF) and the school mission of Bishop Alemany High School.Primary Duties:
- Coordinate and maintain athletic calendars and schedules.
- Execute the scheduling of game officials and finalization of travel arrangements.
- Provide administrative and clerical support for the Athletic Department in alignment with CIF rules and regulations.
- Serve as a primary contact for coaches, staff, parents, students, and vendors regarding routine athletics operations and scheduling matters, including CIF logistics.
- Assist HR Department and Athletic Director with coach hiring and onboarding, including support with intent-to-hire documentation and monitoring completion of all required employment, compliance, and certification requirements prior to the start of work.
- Oversee ongoing compliance tracking for athletic coaches, ensuring required certifications, trainings, and employment documentation remain current.
- Communicate operational information clearly and professionally while escalating issues or concerns to the Athletic Director as needed.
- Organize and support athletic events, including team photo days, banquets, awards ceremonies, and other special programs.
- Maintain and regularly update team rosters, ensuring accuracy throughout the school year.
- Update and track accurate records of athlete physicals and Appryse accounts, ensuring all requirements are current and up to date.
Qualifications Basic Knowledge & Skills:
- Proficient in standard computer applications and office technology.
- Strong working knowledge of Google Workspace (Docs, Sheets, Drive, and collaboration tools), with the ability to quickly learn and adapt to new software platforms.
Interpersonal Skills:
- Effectively manages and prioritizes multiple tasks, delivering accurate work in a fast-paced environment.
- Interacts with students, staff, vendors, and community members with professionalism, courtesy, and respect.
Requirements/Education and Qualifications:
- Bachelors preferred; High School Diploma required.
- Previous experience working with high school students required; in catholic education preferred.
- A practicing Catholic in good standing is preferred, with a deep understanding of the mission of Catholic education.
