This role's defining focus is process: building, documenting, and continuously improving the systems, workflows, and training materials that let the practice run consistently and scale smoothly. Key Responsibilities Design, document, and refine office workflows (patient intake through checkout) into clear, repeatable SOPs Build and maintain the office policy and procedure manual, plus onboarding/training materials for new hires Identify operational bottlenecks and implement measurable process improvements Oversee front-desk operations, patient experience, and scheduling Support billing, accounts receivable, and financial/payroll documentation Coordinate patient flow and communication between clinical and administrative staff Maintain HIPAA and healthcare regulatory compliance, including documented safety protocols Partner with the co-office manager to divide responsibilities and ensure clear accountability Supervise and train administrative staff Qualifications 3+ years of experience in medical office management preferred but not mandatory Must have experience in a process-driven operations role Demonstrated experience building SOPs, workflows, or training documentation Strong organizational, leadership, and communication skills; a systems-thinking mindset Working knowledge of HIPAA and healthcare compliance Proficiency in Microsoft Office Suite and comfort with process/project management tools Education in Healthcare or Business Administration preferred Responsibilities Manage office operations including supply procurement, equipment maintenance, and facility upkeep to create a seamless work environment Coordinate calendar management, scheduling appointments, meetings, and conference rooms to optimize team productivity Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Maintain accurate records through data entry, filing systems, and document proofreading to ensure information integrity Utilize productivity software such as Microsoft Office, Google Workspace, spreadsheets, and bookkeeping tools for various administrative tasks Provide exceptional customer support by addressing inquiries via phone or email promptly and professionally Oversee clerical functions including word processing, typing, and managing correspondence to support daily business needs Join us as an Office Manager and become a key contributor to our vibrant workplace!
