Job Description
Office Manager | QuickBooks Required Pellco Windows & Doors is looking for an experienced, upbeat and highly organized Office Manager for our Newport Beach showroom. This is an important customer facing and operational role. The Office Manager keeps the day to day office, customers, orders, payments and paperwork moving smoothly while supporting our sales team. We are looking for someone who is warm and professional with customers, strong in QuickBooks, extremely organized and comfortable taking ownership of details from beginning to end. Responsibilities Answer incoming calls and help direct customers and leads to the appropriate sales representative Welcome showroom customers and make sure they are taken care of Set up customers and jobs accurately in QuickBooks Create and maintain sales orders and purchase orders Prepare invoices and apply deposits and customer payments Track customer balances and follow up on outstanding payments Review vendor acknowledgments against purchase orders and sales orders Verify pricing, quantities, specifications, lead times and delivery information Compare vendor invoices to purchase orders and identify discrepancies Track open orders, deliveries, backorders and unresolved issues Maintain accurate job documentation, packing slips and receiving records Support the sales team with daily administrative and customer needs Communicate problems early and follow through until they are resolved Qualifications Minimum 3 years of professional hands on QuickBooks experience Strong experience with sales orders, purchase orders, invoicing and applying customer payments Previous office management, customer service, order administration or operations experience Strong Microsoft Outlook, Excel and Word skills Excellent attention to detail and organization Friendly, upbeat and professional with customers Strong follow through and ability to manage multiple priorities Comfortable recognizing discrepancies and solving problems Experience in windows and doors, construction, building materials, manufacturing or distribution is a plus Schedule Full time, Monday through Friday, 7:30 AM to 4:00 PM, onsite in Newport Beach. Reliable and punctual attendance is important because this position helps open and operate the office each day. Overtime requires advance approval from ownership. All hours worked must be accurately reported and will be paid as required by law. Compensation $27 to $31 per hour based on experience.
