Position Overview We are seeking an organized, proactive, and personable Office Manager to oversee the daily administrative operations of our clinic. This role is essential in ensuring a smooth patient experience, efficient clinic flow, and strong team coordination. Key Responsibilities Manage front office operations, including scheduling, patient intake, and check-in/check-out processes Supervise and support our administrative staff Oversee insurance verification, authorizations, and billing coordination Maintain accurate patient records in compliance with HIPAA regulations Handle patient inquiries with professionalism and empathy Coordinate communication between providers, patients, and external partners Manage office supplies, vendor relationships, and facility needs Assist with reporting, payroll coordination, and basic HR tasks Implement and improve office systems and workflows for efficiency Prepare and coordinate clinic events, workshops, and community outreach initiatives Manage and update social media accounts to support patient engagement and brand awareness Assist with marketing efforts, including campaigns, newsletters, and promotional materials Qualifications 2+ years of experience in a medical office management or similar role (physical therapy or healthcare setting preferred) Strong knowledge of medical scheduling, insurance processes, and billing practices Experience with EMR/EHR systems (e.g., PtEverywhere, Jane, or similar) Excellent organizational and multitasking skills Strong communication and leadership abilities High level of professionalism, discretion, and attention to detail Preferred Qualifications Experience in a specialized physical therapy or medical setting Familiarity with insurance authorizations and reimbursement processes Previous supervisory experience What We Offer Competitive salary: $30-32/hour Paid time off and holidays 401(k) plan Positive, team-oriented work environment How to Apply Please submit your resume and a brief cover letter outlining your experience and interest in the role.
