We are a warm, growing school community in Palo Alto serving children from infancy through elementary school. We are looking for an experienced, organized, and highly dependable Office Manager to join our leadership and administrative team. This position is ideal for someone who enjoys working with children and families, is detail-oriented, communicates professionally, and can manage multiple priorities in a fast-paced school environment. Key Responsibilities Serve as the primary point of contact for families, visitors, teachers, and prospective parents Manage front-office operations, phone calls, emails, and daily family communications Support enrollment, tours, admissions paperwork, and student records Maintain attendance, sign-in/sign-out records, staff files, and other required documentation Help ensure school records and administrative processes meet licensing requirements Coordinate calendars, meetings, school events, and administrative deadlines Support tuition and billing-related communications and maintain organized records Assist teachers and school leadership with day-to-day operational needs Coordinate vendors, supplies, maintenance requests, and other school logistics Maintain confidential student, family, and employee information Help create a welcoming, professional, and organized environment for families and staff Qualifications Previous office management, school administration, administrative assistant, or similar professional experience preferred Experience working in a preschool, Montessori school, childcare center, private school, or educational setting is strongly preferred Excellent written and verbal communication skills Strong organizational skills and attention to detail Comfortable using Google Workspace, email, spreadsheets, and digital administrative systems Able to prioritize multiple responsibilities independently Professional, warm, dependable, and solution-oriented Comfortable communicating with parents and working around young children Ability to maintain confidentiality and exercise good judgment Knowledge of California childcare licensing requirements is a plus. Compensation:
