Position Overview Schedule
  • Tuesday through Saturday
  • start time open between 7am-9am
  • end time between 4pm and 6pm.
We are seeking an organized, compassionate, and detail-oriented Office Administrator to keep our memory care community running smoothly. In this individual-contributor role, you will serve as the administrative hub of our home, supporting executive leadership, managing day-to-day office operations, handling light billing/payroll duties, and creating a warm, welcoming environment for residents, families, and visitors. While this role carries no direct supervisory responsibilities over staff, you will play a vital leadership-support role in ensuring operational efficiency and regulatory compliance. Key Responsibilities 1. Administrative & Operations Support Serve as the primary point of contact for office inquiries, phone calls, and incoming visitors, maintaining a calm and welcoming atmosphere. Manage office inventory, track supplies, and handle purchasing for administrative and community needs. Organize and maintain digital and physical filing systems, ensuring compliance with state regulations and HIPAA standards. Coordinate vendor contracts, service calls, and facility maintenance schedules in partnership with leadership. 2. Executive & Departmental Support Provide direct administrative support to the Executive Director and department heads (e.g., calendar management, meeting preparation, and travel arrangements). Assist with resident onboarding records, admission paperwork, and updating family contact rosters. Prepare reports, meeting minutes, and internal memos as requested. 3. HR Administrative Coordination Assist leadership with employee files/paperwork/administrative support where appropriate 4. Community & Resident Interaction Maintain a patient, empathetic approach when interacting with residents experiencing memory loss or cognitive decline. Assist in organizing community events, staff appreciation initiatives, and family communication mailings.
Qualifications & Skills Experience:
2+ years of administrative or office management experience (experience in senior living, healthcare, or memory care is highly preferred).
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office software. Strong organizational and multitasking skills with high attention to detail. Basic understanding of bookkeeping or invoicing principles.
Soft Skills:
Exceptional interpersonal skills, strong emotional intelligence, patience, and a genuine heart for working around seniors with memory impairments.
Certifications/Requirements:
Must pass a background check and drug screening (plus any state-mandated healthcare worker clearances).
Work Environment Setting:
On-site in a memory care residential facility.
Pay:
$26.00
