An Office Manager directs administrative staff and manages workflow in a business office. Supervises clerical work, tracks office supplies, oversees maintenance for office equipment and manages budget for office expenses. May hire and train staff.
We are looking for a sharp, high-energy Account Manager who excels at closing inbound sales, managing orders seamlessly, and keeping customer communication tight. This role is responsible for aggressively following up on all incoming leads—phone calls, website inquiries, walk-ins, and dormant client accounts—turning quotes into paying jobs and keeping our production workflow moving fast. As the primary face and voice of our front office, you will handle the day-to-day administrative load to pull daily operational stress off management's plate. Beyond order management, you are a flexible team player willing to pitch in wherever needed—whether that means assisting at an event or jumping onto the shop floor to assist with heat transfers during peak rushes.
KEY RESPONSIBILITIES
Inbound Sales & Lead Closure Aggressive Follow-Up:
Actively follow up on every phone inquiry, web lead, quote request, and walk-in customer with urgency to close sales quickly.
Account Reactivation:
Routinely check in on past clients and existing accounts to capture reorders and keep job pipelines steady.
Consultative Guidance:
Walk clients through garment/product selection, decoration options (screen print, DTF/heat transfers), pricing, artwork proofs, and production timelines.
Payment & Order Entry:
Issue accurate job quotes, take customer payments, and build complete production tickets in Printavo.
Front Office & Operational Support Executive Offloading:
Proactively handle client communications, order tracking, and administrative tasks to free up ownership and management.
Front Desk Ownership:
Keep the front office, showroom, and client-facing areas clean, organized, professional, and welcoming.
Production & Vendor Coordination:
Coordinate with wholesale vendors for blank goods and work directly with graphic designers and print operators to keep jobs on schedule.
Quality Control:
Perform final inspections on completed orders before client pickup or delivery. Flexibility & "All-Hands-on-Deck"
Teamwork Production Support:
Willing and ready to assist on the shop floor during high-volume rushes (e.g., positioning heat-press transfers, counting/sorting garments, boxing orders).
Event & Shop Representation:
Flexible to step in and assist at community events, pop-ups, or trade booths when scheduled.
General Shop Readiness:
Jump into whatever operational bottleneck needs fixing to ensure deadlines are met and clients stay happy.
QUALIFICATIONS & PROFILE
Willingness to
Learn:
Prior print experience is a bonus, but not required—we will teach you the ropes as long as you have the drive, eagerness, and hunger to learn the industry.
Sales Drive:
Excellent follow-up skills with zero hesitation to pick up the phone, follow up on quotes, and lock in orders.
Agile & Grounded:
"No task is too small" attitude—equally comfortable talking to clients as you are pressing transfers or cleaning up the front desk.
Software:
Comfortable learning shop management software (Printavo) and basic computer programs.
Organization:
Exceptional multi-tasking skills with the ability to manage tight deadlines and high order volumes without losing attention to detail.
Pay:
$21.00 - $30.00 per hour Expected hours: 40.0 per week
