OFFICE MANAGER
Summit Fence Inc. — Sacramento, CA Full-Time | Monday-Friday | In-Office Summit Fence Inc. is a growing construction company specializing in residential fencing for new-home builders and existing residential customers throughout the Sacramento and surrounding areas. We are looking for an experienced, organized, and dependable Office Manager to help oversee the day-to-day operations of our office and keep communication, scheduling, paperwork, and administrative responsibilities running efficiently. This is a hands-on position for someone who takes ownership of their work, pays attention to detail, communicates well, and can stay organized in a fast-paced construction environment. RESPONSIBILITIESOffice Management Oversee the day-to-day operation of the office Keep office systems, paperwork, and files organized and up to date Answer and direct incoming phone calls, emails, and customer inquiries Coordinate communication between office staff, field crews, supervisors, customers, and builders Follow up on outstanding items and make sure tasks are completed Maintain a professional and organized office environment Scheduling & Job Coordination Assist with scheduling fence installations, repairs, warranty work, and other projects Coordinate with field supervisors and crews regarding upcoming work Monitor schedules and help identify potential delays or conflicts Communicate schedule changes to customers, builders, and internal staff Keep job information and instructions accurate and current Accounting & Administrative Support Assist with invoicing, billing, collections, and accounts receivable Monitor outstanding invoices and follow up as needed Process paperwork related to completed jobs Maintain accurate customer and job records Assist with purchase orders, vendor documentation, and other administrative tasks Work with management and accounting to ensure information is accurate and submitted on time Construction & Builder Support Communicate with home builders, construction managers, homeowners, vendors, and subcontractors Track open items and help ensure jobs are completed and closed out Assist with change orders, additional work, job documentation, and related paperwork Help maintain accurate records for active communities and projects Follow up on incomplete work, warranty requests, and outstanding documentation Customer Service Handle customer questions and concerns professionally Coordinate warranty and service requests Communicate clearly and promptly with customers Help resolve scheduling and service issues before they become larger problems Maintain a professional relationship with builders and customers
WHAT WE ARE LOOKING FOR
The ideal candidate is: Highly organized and detail-oriented Reliable and punctual Comfortable working in a fast-paced construction environment A strong communicator by phone, email, and in person Able to prioritize multiple tasks at once Comfortable following up and holding tasks accountable until they are completed Proficient with computers, email, Microsoft Office, and spreadsheets Comfortable learning and using construction and accounting software Able to work independently without needing constant direction Professional, positive, and willing to help wherever needed Someone who takes ownership rather than waiting to be told what to do Construction office experience is strongly preferred. Experience with residential construction, home builders, fencing, scheduling, accounting, or service/warranty departments is a plus.
WHAT SUCCESS LOOKS LIKE
The successful Office Manager will become a key part of keeping Summit Fence organized and operating efficiently. We are looking for someone who will: Stay ahead of the schedule Keep paperwork and information accurate Return calls and emails promptly Follow up on outstanding items Communicate problems before they become emergencies Keep jobs moving through completion Support the field team while maintaining accountability Take ownership of the office rather than simply completing assigned tasks
QUALIFICATIONS
3+ years of office management, administrative, construction, or related experience preferred Strong organizational and communication skills Strong computer skills Ability to work with spreadsheets and basic financial information Ability to manage confidential information Valid driver's license High school diploma or equivalent required Spanish and English speaking
COMPENSATION & BENEFITS
