Job Summary We are seeking a dynamic and highly organized Office Coordinator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your energetic approach and exceptional organizational skills will help manage administrative tasks, coordinate events, oversee vendor relationships, and support team members across various departments. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth. Coordinate and plan company events, meetings, and training sessions to foster team engagement and development. Oversee scheduling management for staff calendars, appointments, and conference rooms to optimize productivity. Supervise administrative staff and provide training & development opportunities to ensure high performance. Handle vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining strong supplier relationships. Support human resources functions such as onboarding new employees, maintaining filing systems, and assisting with payroll processes. Maintain accurate bookkeeping records, manage office supplies inventory, and oversee budgeting activities to ensure cost-effective operations. Skills Proven experience in office management or administrative roles with strong clerical and organizational skills. Demonstrated supervising experience with the ability to lead teams effectively. Proficiency in QuickBooks for financial record keeping and invoice processing. Excellent communication skills with professional phone etiquette and customer service orientation. Strong event planning abilities for coordinating meetings, trainings, and company functions. Knowledge of human resources procedures including onboarding, payroll support, and employee record management. Familiarity with medical office management or similar environments is a plus. Ability to manage multiple priorities efficiently while maintaining attention to detail in filing, calendar management, and office workflows.
