Job Description
Description We are looking for an experienced Office Manager to oversee daily administrative and financial operations for a growing team in San Carlos, California. This role blends office leadership with hands-on accounting support, helping maintain accurate financial records, coordinated employee administration, and efficient internal processes. The ideal candidate brings a background in construction environments, strong organizational skills, and the ability to manage multiple priorities with precision.
Responsibilities:
- Oversee day-to-day office operations to ensure administrative, financial, and employee support activities run smoothly and efficiently.
- Manage accounts payable, accounts receivable, and customer invoicing while maintaining accurate and timely financial records.
- Assist with payroll coordination and related documentation to support consistent and compliant employee compensation processes.
- Prepare month-end close materials, compile financial reports, and help leadership monitor business performance.
- Administer employee benefits and insurance programs, including enrollment support, record maintenance, and coordination with external providers.
- Support union reporting requirements and help organize documentation needed for audits and compliance reviews.
- Maintain spreadsheets, reports, and reconciliations using advanced Excel skills to track operational and financial data.
- Partner with internal stakeholders on accounting system processes, including supporting updates to financial tools when needed. Requirements
- At least 5 years of experience in accounting, office management, or a closely related operational finance role.
- Prior experience working in the construction industry with an understanding of its administrative and financial workflows.
- Demonstrated knowledge of accounts payable, accounts receivable, billing, and month-end financial reporting.
- Experience supporting union reporting, audit preparation, or other compliance-focused documentation.
- Strong Excel skills with the ability to organize, analyze, and present data accurately.
- Background assisting with payroll administration, employee benefits, and insurance-related processes.
- Highly organized and detail-oriented, with the ability to manage multiple responsibilities effectively.
- Familiarity with accounting and payroll platforms such as AccountEdge, QuickBooks, or Paychex is preferred.
