This role combines front desk responsibilities with office management duties, requiring a proactive individual who thrives in a fast-paced environment. The ideal candidate will possess strong medical office experience, supervisory skills, and a comprehensive understanding of healthcare management systems. You will be the first point of contact for patients and visitors while overseeing daily administrative tasks, staff coordination, and compliance with health regulations. This paid position offers an exciting opportunity to contribute to a well-organized, patient-centered healthcare setting. Responsibilities Greet patients, visitors, and staff warmly while managing all front desk operations efficiently Schedule appointments, coordinate patient flow, and handle patient check-in/check-out processes using EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems such as Dentrix, Eaglesoft, or eClinicalWorks Manage medical records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations Oversee billing processes, fiscal management, budgeting, and financial recordkeeping to support practice sustainability Supervise administrative staff and medical administrative support teams; provide training and performance feedback Ensure clinic operations adhere to healthcare policies including JCAHO standards, HIPAA requirements, and health regulation policies Maintain inventory of office supplies and medical equipment; coordinate repairs or replacements as needed Collaborate with medical providers on practice management tasks such as utilization management and managed care processes Handle human resources functions including staffing schedules, onboarding new team members, and managing team workflows Support clinic's compliance with healthcare regulations by implementing policies related to medical terminology, medical records management, and acute or hospital care standards Experience Proven experience in medical office management or healthcare administration within a clinical setting Demonstrated supervisory experience managing teams in a healthcare environment Extensive knowledge of EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft or similar platforms Strong understanding of health regulation policies including HIPAA compliance and JCAHO standards Familiarity with fiscal management including budgeting, financial management experience, and managed care processes Prior experience working in dental clinics or veterinary practices is advantageous but not required Knowledge of medical terminology, medical records management, and electronic health records (EHR) systems is essential Experience with hospital or acute care environments enhances suitability for this role Join us to be an integral part of a vibrant healthcare team where your leadership skills and administrative expertise will make a meaningful impact!
