Business Office Coordinator Redwood Grove Post Acute is seeking an organized, dependable, and detail-oriented Business Office Coordinator to join our team. This position plays an important role in the day-to-day financial and administrative operations of our skilled nursing facility and works closely with the Administrator, department managers, residents, families, and corporate support team. We are looking for someone who is comfortable handling multiple priorities, maintaining confidential information, and providing excellent customer service while helping keep our business office organized and accurate. Key Responsibilities Process facility payroll accurately and timely, including reviewing employee timekeeping information and assisting with payroll corrections. Upload, organize, and maintain invoices, expenses, and accounts payable documentation . Assist with private-pay resident collections , including monitoring outstanding balances and communicating professionally with residents, responsible parties, and families. Maintain accurate and current resident financial and demographic profiles . Assist with resident account documentation, insurance information, and other financial records. Help track Medi-Cal, Medicare, insurance, private-pay, and other payer information as applicable. Maintain organized business office files and ensure required documentation is readily available. Assist with resident admissions and discharges from a business-office perspective. Communicate with residents and families regarding billing questions and account balances. Assist the Administrator with financial reports, account reconciliation, expense tracking, and other administrative projects. Utilize Microsoft Excel to maintain spreadsheets, organize and analyze financial information, track expenses and collections, and prepare reports. Coordinate with department managers regarding payroll, purchasing, invoices, and other business-office needs. Maintain confidentiality of employee, resident, payroll, and financial information. Follow facility policies and applicable HIPAA, state, and federal requirements. Perform other business-office and administrative duties as assigned. Qualifications Previous business office, accounting, payroll, billing, or administrative experience preferred. Experience in a skilled nursing facility, long-term care, healthcare, or medical billing environment strongly preferred. Proficiency in Microsoft Excel is required , including the ability to create and maintain spreadsheets, use formulas, sort and filter data, and organize information for reporting and tracking purposes. Experience with payroll and timekeeping systems is preferred. Strong overall computer skills, including Microsoft Office and Outlook. Ability to learn healthcare billing and facility software systems. Strong attention to detail and ability to maintain accurate records. Excellent organization and time-management skills. Comfortable discussing financial matters and collections professionally with residents and families. Strong written and verbal communication skills. Ability to handle confidential and sensitive information appropriately. Must be dependable and able to manage multiple deadlines and priorities.
