Position Summary The Shipping Office Administrator plays a key role in supporting the day-to-day operations of the shipping and logistics department. This position is responsible for processing customer orders, coordinating shipping documentation, managing administrative logistics, and ensuring clear communication with internal teams and external partners. The ideal candidate will be highly organized and dependable, with the ability to follow a structured daily routine and consistently meet strict end-of-day processing deadlines. This role is also an excellent opportunity for a motivated candidate who is eager to learn company operations from the ground up and grow within the organization. Essential Responsibilities 90-Day Training Program with Mentorship from leadership is mandatory. On-going Mentorship from on-site Manager and co-staff is status quo to provide confidence and efficiency for new hires. Accurately process and manage customer orders from entry to final shipment using internal systems Prepare and maintain comprehensive shipping documentation, including bills of lading, packing lists, and commercial invoices Generate and print labels for shipments, including product labels for boxes, bags, and other packaging as requested by warehouse personnel Follow a daily routine that includes order verification, label preparation, documentation filing, and end-of-day shipping reconciliation Ensure all shipping tasks are completed on time and meet daily deadlines Respond professionally and promptly to inquiries received via email, phone, live chat, and internal ticketing platforms Perform general clerical tasks including the filing of receipts, shipping documents, receiving reports, and employee records Maintain accurate logs, data entries, and shipping records in accordance with company procedures and compliance standards Provide administrative support to warehouse, logistics, and management teams as needed Ensure all shipping and administrative activities that are individually performed align with company quality and safety standards Assist office team with greeting all visitors, vendors, and delivery personnel with professionalism and courtesy. Maintain visitor logs and manage security sign-ins according to company protocols. Serve as the primary point of contact for high-value and VIP customer accounts. Deliver white-glove service by meeting customer needs with high quality and exceeding expectations in responsiveness and solution delivery. Coordinate closely with Sales, Logistics, Warehouse, and Finance teams to ensure customer satisfaction and issue resolution. Investigate and resolve order discrepancies, shipment issues, backorders, and returns with speed and efficiency. Escalate unresolved problems or tickets appropriately while maintaining ownership and communication with the customer. Maintain detailed records of all order communications and updates in CRM and ERP systems. Ensure adherence to internal policies and external compliance requirements related to shipping, invoicing, and returns. Qualifications Minimum of 1 year of experience in an administrative, logistics, or shipping-related role Associate degree preferred, or equivalent combination of education and experience Strong computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook) Excellent organizational skills with the ability to manage multiple priorities and deadlines Exceptional communication skills, both written and verbal High level of attention to detail and accuracy in documentation and data entry Ability to follow structured workflows and meet end-of-day deadlines without exception Ability to work independently with minimal supervision, as well as collaboratively in a team environment Professional demeanor, reliability, and a proactive attitude toward learning and improvement Compensation & Benefits Competitive hourly wage: $17.50 - $21.00 per hour (commensurate with experience) Medical, Dental, and Vision Insurance (employee contribution required) Sick Time accrued in accordance with California labor laws Paid Time Off (PTO) available after one year of continuous employment Opportunities for career advancement and professional development Why Join SuperMoss?
