Job Description

This position is primarily responsible for providing support to the management, technician crews in daily operations, and customer services. Office Administrator / Receptionist About Us We help homeowners and businesses recover from water, mold, fire, and smoke damage and provide professional carpet and specialty cleaning services. We're looking for a dependable, organized Office Administrator who enjoys helping people, keeps track of details, and brings a professional, positive attitude to a busy office. What You'll Do Answer incoming calls, greet visitors, and provide friendly, professional customer service. Gather customer information, create new job files, and accurately enter information into company systems. Assist with scheduling, appointment confirmations, and keeping job boards and project statuses current. Communicate with homeowners, property managers, insurance representatives, and team members. Upload photographs, reports, notes, and other required documents to insurance and third-party administrator (TPA) portals. Track deadlines, follow up on missing information, and keep project files organized and complete. Support new-hire paperwork, onboarding records, and general employee communications. Maintain office supplies, filing systems, equipment logs, and vehicle-related administrative records. Protect confidential customer, employee, and company information. Provide administrative support to the CFO and operations team. What We're Looking For High school diploma or GED. One to three years of office administration, reception, customer service, or data-entry experience preferred. Strong telephone skills and clear, professional verbal and written communication. Proficiency with Microsoft Office and willingness to learn job-management and insurance portal systems. Excellent organization, attention to detail, and follow-through. Ability to manage changing priorities and frequent interruptions. A calm, compassionate approach when helping customers experiencing property damage. A dependable, proactive team player who takes ownership of assigned tasks. Restoration, construction, insurance, or property-management experience is a plus. Experience with DASH or TPA portals is helpful but not required. Work Environment This is an in-person office position involving computer and telephone work, sitting, standing, walking, and occasionally lifting or carrying up to 15 pounds, with reasonable accommodation as needed. Skills:
  • Minimum 1 Year experience in Office Administration
  • Basic computer skills in all Windows operating environment including Microsoft Office.
  • Requires good written and verbal communications skills to communicate effectively.
  • Must be able to work under general supervision.
  • Must have a professional and mature demeanor.
  • Exhibit courtesy/respect for co-workers and willing to help co-workers when needed
  • Excellent organizational abilities.
  • Must be willing to learn.
  • Restoration experience Preferred
  • IICRC Certification is a plus
