This role is vital in ensuring the smooth operation of our office functions while providing accurate project cost estimates. You will be the backbone of our administrative processes, managing schedules, vendor relationships, and financial records with enthusiasm and precision. Responsibilities Perform thorough inspections of vehicles to assess the extent of damage from collisions, ensuring all repair needs are identified. Prepare detailed and accurate damage estimates using industry-standard software (e.g., CCC ONE, Mitchell, Audatex, All Data, Repair Logic, and Manufacturer Repair Manuals). Collaborate with technicians to understand repair requirements and address any additional items that may arise during the repair process. Communicate with customers to explain repair processes, costs, and timelines, ensuring transparency and understanding throughout the process. Maintain up-to-date knowledge of automotive repair techniques, technology, and industry trends to provide accurate assessments. Work closely with insurance adjusters to facilitate smooth claims processing and resolve any disputes regarding repair estimates. Manage and track repair orders, ensuring all documentation is accurate and complete. Provide excellent customer service by addressing any customer concerns or questions promptly and professionally. Stay organized and manage multiple estimates and projects simultaneously to meet customer expectations and shop productivity goals. Requirements Must be bilingual English and Spanish. Proven experience in office administration or related roles with strong organizational skills. Proficiency in Microsoft and CCC One; familiarity with other accounting or scheduling software is a plus. Excellent communication skills—both verbal and written—and professional phone etiquette. Strong organizational skills with the ability to manage multiple priorities simultaneously. Experience in vehicle repair/autobody industry desirable. Familiarity with office equipment such as multi-line phones, fax machines, printers, and filing systems. Ability to adapt quickly to changing priorities while maintaining attention to detail.
