We're a general contractor specializing in high-quality residential remodels, custom homes, and commercial tenant improvements. We're looking for an organized, proactive Construction Office Administrator who enjoys creating efficient systems, maintaining accurate financial records, and supporting the day-to-day operations of a growing construction company. This role is ideal for someone with experience in construction accounting, QuickBooks Online, job costing, payroll administration, and office operations. You'll work closely with ownership and our Project Manager to help ensure projects remain organized, financially accurate, and supported from project setup through closeout. Responsibilities Manage day-to-day construction accounting, including accounts payable, accounts receivable, customer billing, payroll administration, job costing, reconciliations, and financial reporting. Maintain accurate financial records and project cost information. Provide administrative support throughout the project lifecycle, from project setup through final closeout. Prepare and maintain project documentation, contracts, permits, and project records. Coordinate subcontractor and vendor onboarding, compliance documentation, and administrative records. Maintain Buildertrend data, project information, templates, and company records. Develop and maintain organized paper and digital filing systems, Standard Operating Procedures (SOPs), and administrative workflows. Coordinate employee onboarding, personnel records, payroll administration, benefits administration, Workers' Compensation claims, and HR documentation. Coordinate company insurance administration, licensing, audits, renewals, and compliance requirements. Continuously improve business systems, workflows, and administrative processes that support company growth. QualificationsRequired Minimum 3 years of experience in construction administration, construction accounting, bookkeeping, business operations, or a similar role. Strong QuickBooks Online experience, including construction job costing. Payroll administration experience. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities while maintaining a high level of accuracy. Proficiency with Microsoft Office and Google Workspace. Construction industry experience. Preferred Buildertrend experience. HR administration experience. Experience creating Standard Operating Procedures (SOPs). Experience organizing and improving business systems and workflows.
