Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead the administrative operations of a well-established plumbing, heating, and air conditioning company with over 30 years of dedicated service. This vital role requires a proactive individual who can streamline office processes, supervise staff, manage vendor relationships, and ensure smooth daily operations. The ideal candidate will bring energy, excellent communication skills, and a passion for creating an efficient, welcoming workplace environment. As the backbone of our administrative team, you will play a key role in supporting our company's growth and maintaining exceptional service standards. Responsibilities Oversee daily office functions including multi-line phone systems, and calendar management to ensure seamless communication and scheduling. Supervise administrative staff, providing training and development opportunities to foster a motivated and efficient team. Manage vendor relationships, negotiate contracts, and coordinate procurement to support operational needs. Handle bookkeeping tasks such as invoicing, filing, and maintaining accurate records using QuickBooks or similar accounting software. Coordinate human resources functions including payroll processing, employee onboarding, benefits administration, and compliance with employment laws. Organize company events, meetings, and training sessions to promote team cohesion and ongoing professional development. Maintain office supplies inventory, oversee filing systems, and ensure the overall organization of administrative documents. Support budgeting efforts by tracking expenses and assisting in financial planning activities related to office management. Experience Proven experience in office management or administrative roles within a service-oriented or medical office environment is preferred. Demonstrated supervising experience with the ability to lead and motivate a team effectively. Strong proficiency in QuickBooks for bookkeeping and payroll processing is highly desirable. Prior experience managing schedules, vendor negotiations, and human resources functions is essential. Excellent organizational skills with attention to detail in clerical tasks such as filing, record keeping, and calendar management. Effective communication skills coupled with professional phone etiquette for front desk interactions. Familiarity with office technology including multi-line phone systems, scheduling software, and basic accounting tools is required.
