Office & Service Operations Administrator InSev Tech Yorba Linda, CA Job Details Full-time $21 - $26 an hour 19 hours ago Qualifications Spanish Customer communication Microsoft Office Administrative experience Organizational skills Office management Full Job Description InSev Tech is seeking an organized, dependable Office & Service Operations Administrator to support the daily operations of our growing industrial service company. This position works directly with management, field technicians, customers, and vendors. The role combines office administration, customer communication, service coordination, documentation, billing support, and general operational support. This is not a passive front-desk position. We are looking for someone who can stay organized, follow work through completion, communicate professionally, and help keep a fast-moving service operation on track. Primary Responsibilities Coordinate technician schedules, service calls, and customer appointments Answer incoming calls and communicate with customers regarding service needs Create and maintain customer, job, and service records Process technician work orders, photos, completion notes, and field documentation Assist management with invoicing and billing preparation Track open jobs, return visits, estimates, parts, and outstanding documentation Communicate with vendors regarding parts, orders, availability, and delivery status Maintain organized digital and physical company records Assist with purchase documentation, receipts, and job-related expenses Monitor company email and route requests to the appropriate team member Support customer follow-up and service coordination Assist with company social media and basic marketing administration Prepare spreadsheets, reports, and internal tracking documents Help maintain accurate information within Service Fusion Provide general administrative and operational support as needed What We're Looking For Previous administrative, office coordination, dispatch, or service-industry experience preferred Strong organizational skills and attention to detail Professional written and verbal communication Comfortable speaking with customers, technicians, vendors, and management Ability to manage several active priorities without losing track of details Comfortable using computers, email, spreadsheets, and cloud-based software Microsoft Excel and/or Google Sheets experience Experience with CRM, field-service, dispatch, or accounting software is beneficial Service Fusion experience is a plus but not required Ability to learn new systems and processes quickly Dependable attendance and consistent follow-through Able to work independently while also supporting a team Spanish and/or Mandarin bilingual ability is a plus, but not required About InSev Tech InSev Tech, a NLY Company, provides industrial door, loading dock, gate, automation, and facility access services throughout Southern California. Our work includes preventive maintenance, emergency service, repair, installation, modernization, and asset management for commercial and industrial facilities. Our operation is continuing to expand, and this position will play an important role in building the administrative structure that supports that growth.
