This role balances high-level administrative management, office operations, and direct oversight of Human Resources and Payroll processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Office Operations & Administrative Management Oversee general office operations and maintain an efficient, organized working environment. Coordinate domestic and international travel, including flight, hotel, and car rental reservations. Monitor, purchase, and stock office supplies and equipment. Monitor and manage the company fleet and fuel accounts Produce reports, compose correspondence, draft new contracts, and create executive/management presentation reports. Keep all licensing/ permits, vehicle licenses, and DORA accounts current. Run general errands as needed to support office operations.
Human Resources Management Weekly payroll:
review/verify timesheets, attendance, and leave requests. Weekly certified payroll, maintaining full compliance with federal, state, and local regulations. Manage (new hires, salary changes, deductions, adjustments), resolve discrepancies, and respond to benefit inquiries. Prepare weekly, management, and auditing payroll reports, as well as year-end payroll activities and tax reporting. Manage and update confidential employee personnel files and HR databases.
Recruitment activities:
post job openings, schedule interviews, and obtain a complete personnel file.
QUALIFICATIONS & COMPETENCIES
Education & Experience:
Associate's degree (A.A.) or equivalent from a two-year college/technical school with a minimum of 6 years of related experience/training, or an equivalent combination of education and experience.
Technical Skills:
Hands-on experience with Foundation software (or similar construction accounting software), Certified Payroll processing, and HR recordkeeping.
Knowledge:
Demonstrated knowledge of payroll procedures, HR policies, and employment laws.
Core Skills:
Strong attention to detail, analytical skills, problem-solving abilities, and time management.
Communication:
Ability to read/interpret business documents, governmental regulations, and technical procedures; ability to present information to management, owners, and subcontractors.
Licensing:
Valid driver's license with the ability to maintain insurance coverage.
PHYSICAL DEMANDS & WORK ENVIRONMENT
Primary duties occur in an office setting. Jobsite exposure includes outside weather conditions, noise, fumes/airborne particles, and moving mechanical parts.
